British Airways refund or voucher: make the choice deliberately

Reviewed on 10 August 2026. When British Airways cancels a covered flight, the passenger can normally choose a money refund or rerouting. A BA voucher is an optional commercial substitute and should be accepted only after checking validity, transferability, currency, eligible travellers and whether acceptance ends the cash claim. It is not fixed compensation.

The statutory refund

Current UK261 and EC261 require reimbursement within seven days after the passenger chooses it. The refund covers unused ticket portions and, where travel already made no longer serves the original plan, can include used portions plus return transport to the initial departure point.

BA's refund form warns that submitting can cancel remaining flights for all passengers on the booking. It also says consent of everyone travelling is required and advises contacting BA for a partial refund while keeping other flights. Read those consequences before using a whole-booking form.

A non-refundable fare does not remove the statutory refund triggered by airline cancellation. Fare restrictions matter when the passenger cancels voluntarily.

Voucher consent

Regulation 261 permits reimbursement by travel voucher only with the passenger's signed agreement. Online consent can still be legally important, so do not click through casually. Save the offer and terms as they stood on acceptance.

Check expiry, booking deadline, travel deadline, eligible routes, name restrictions, residual balance, currency and what happens if the new fare is lower. Ask whether taxes and carrier charges can be paid with the voucher.

BA's refund terms state that a passenger cannot use that refund form after already requesting a voucher. This makes the sequence practically important. If consent was obtained through misleading design or no real choice, preserve the screen and complain promptly rather than spending the credit.

Avios and companion vouchers

An Avios ticket combines points with cash taxes, fees and carrier charges. Airline cancellation should restore the applicable Avios and money under the reward-booking process. A cash eVoucher is not necessarily a suitable substitute for points.

Companion vouchers and upgrade instruments have their own validity. Ask BA to reinstate them or provide an equivalent remedy where the airline cancelled. Keep the original expiry and disruption correspondence.

Refund after five hours of delay

A passenger facing at least five hours of departure delay can abandon the journey and request reimbursement even without cancellation. If a connection on one booking has already begun and the trip no longer serves its purpose, a return flight to the original departure point can be due.

This is a choice not to travel. A passenger who continues on the delayed service cannot also demand repayment for the same flown carriage. Fixed delay compensation can still be assessed from final arrival and cause.

Refund does not equal compensation

A refund replaces transport that BA did not provide or that the passenger abandoned under the regulation. Fixed compensation addresses inconvenience from qualifying delay, cancellation or denied boarding. A passenger can receive both where each condition is satisfied.

Example: BA cancels Heathrow-Rome two days before travel for an ordinary operational reason. The passenger no longer needs the trip and takes a refund. They can still claim GBP 220 if the route and cancellation rules support it.

Expense reimbursement is also separate. Meals and hotel incurred before the refund decision should be itemised. Care usually ends after the passenger elects not to travel.

Agent and package bookings

BA may direct a refund through the travel agent that issued the ticket. Keep proof of requesting it from both businesses if they send the passenger back and forth. The operating carrier's statutory duties should not vanish because an intermediary controls ticket accounting.

Evidence and unresolved refunds

Keep the original ticket receipt, payment method, cancellation notice, chosen remedy and form confirmation. Record each passenger and every remaining sector. Reconcile any refund against base fare, taxes, fees, Avios and extras.

If BA returns less than expected, ask for a calculation rather than opening a new general complaint. If a voucher was issued without informed consent, state that a money refund was selected and attach the interface evidence.

The EU's adopted 2026 reform will later make reimbursement automatic in specified cases and change payment timing. It is not applicable on 10 August 2026. Current seven-day rules remain the legal starting point, while bank processing can affect when funds appear.

FAQ

Must I accept a British Airways voucher?

No. After a covered cancellation, money refund and rerouting are statutory choices. A voucher requires informed agreement.

Can I change from a voucher to cash later?

BA's current refund terms say its refund form cannot be used after requesting a voucher. Challenge invalid consent promptly, but do not assume an easy conversion.

Will a refund cancel my return flight?

BA warns that its form can cancel remaining flights for everyone on the booking. Contact BA for a partial refund if other sectors must remain.

Can I receive refund and compensation together?

Yes where the cancellation or delay also meets fixed-payment conditions. The remedies cover different interests.

What happens to Avios after BA cancels?

The reward-booking process should address points and cash components. Preserve companion or upgrade-voucher details and request their reinstatement separately.
