British Airways Avios reward flight: compensation, refund and downgrade

A British Airways Reward Flight booked with Avios can qualify for UK261 or EC261 because tickets issued through a loyalty programme available to the public are not excluded merely for using points. Fixed compensation remains monetary. Refund of Avios, cash charges, a companion voucher or an upgrade instrument follows the reward-booking terms and should be handled separately.

Why reward tickets are protected
Regulation 261 excludes passengers travelling free of charge or at a reduced fare not available directly or indirectly to the public. It then states that tickets issued under a frequent-flyer programme or other commercial programme are included.
British Airways Reward Flights are offered through the British Airways Club to members using Avios plus applicable cash charges. They are therefore not private staff concessions simply because no conventional fare was paid.
Coverage still depends on route and operating carrier. A BA-operated Heathrow departure generally uses UK261. An Iberia-operated BA codeshare leaving Madrid uses the operator and EU departure facts. Points currency does not decide legal currency.
Fixed compensation is cash
The normal UK261 bands are GBP 220, GBP 350 and GBP 520; EC261 uses EUR 250, EUR 400 and EUR 600. They are based on distance and disruption, not the number of Avios redeemed.
Example: two passengers use Avios and a companion voucher for Club World from Heathrow to New York. BA causes a qualifying arrival delay beyond four hours. Each passenger can have an individual GBP 520 claim even though one required no additional Avios under the voucher.
BA should not replace GBP 1,040 with points unless the passengers freely agree to another settlement. Keep any voucher offer and waiver wording.
Cancellation refund mechanics
When BA cancels, the passenger normally chooses refund or rerouting. For a Reward Flight refund, identify:
- Avios debited;
- cash paid for taxes, fees and carrier charges;
- companion voucher or upgrade instrument;
- cancellation or service fee, if any;
- booking account and card used.
Airline cancellation should not be processed as though the passenger voluntarily cancelled under ordinary reward rules. Check that Avios return, cash return and voucher reinstatement each occur. A bank refund alone may omit the loyalty element.
If the passenger still wants travel, request rerouting rather than cancelling the reward booking. BA cannot limit statutory rerouting to reward-seat inventory simply because the original ticket used Avios; ask it to provide a protected replacement journey.
Companion vouchers
A companion voucher can represent substantial booking value while having no separate cash ticket price. Save its original expiry, card account and itinerary. If BA cancellation makes the booking unusable, request reinstatement with a period that preserves a realistic opportunity to use it.
Do not assume ATOL protects Avios. BA Holidays' current ATOL information says the scheme does not reimburse Avios as a form of payment, although insolvency repatriation protection can still apply. Flight disruption and package performance remain separate from insolvency cover.
For a flight-only reward, use British Airways Club and Customer Relations records rather than a package certificate.
Avios upgrades and cabin downgrade
If Avios moved a passenger from World Traveller Plus to Club World, the upgraded cabin is the class booked for carriage. A later move back can create a downgrade. Preserve the reissued ticket, booking class and points debit.
Article 10 uses 30%, 50% or 75% of the affected flight price. Points-and-cash valuation is not always straightforward, and Mennens was decided on ticket price rather than a loyalty conversion formula. Require BA to state whether it returns Avios, cash or both and how it treated cabin-dependent charges.

Taxes, fees and unused ticket value
Reward Flights often include substantial carrier charges in cash. On cancellation, reconcile each line. Government taxes may be refundable when travel does not occur; carrier charges and service fees depend on the involuntary-cancellation remedy rather than a voluntary fare rule.
For an Article 10 downgrade, taxes and charges not dependent on cabin are excluded from the percentage base under Mennens. For a full cancellation refund, they are part of the unused ticket accounting. The same line item can therefore be treated differently under different remedies.
Evidence and claim route
Save the Reward Flight confirmation, Avios statement, payment receipt, voucher number and original cabin. Add operating-carrier evidence, disruption notice, arrival time and replacement itinerary.
Submit fixed compensation through BA Customer Relations and state that Article 3(3) includes publicly available frequent-flyer tickets. Use the reward-booking channel to reconcile Avios and instruments, but cross-reference case numbers.
If BA says no cash fare means no compensation, request review under the programme-ticket wording. If it returns Avios but refuses fixed payment, explain that refund and compensation serve different purposes. The BA claim guide provides the evidence order.

Can an Avios ticket receive GBP 520 compensation?
Yes. A public frequent-flyer ticket can qualify, and the fixed band does not depend on the points or cash fare paid.
Must BA find reward availability for rerouting?
Statutory rerouting should provide the journey, not merely search the limited reward inventory. Ask BA for a suitable protected alternative.
What happens to a companion voucher after cancellation?
Request reinstatement and check the usable expiry. Keep the original voucher record and airline-cancellation evidence.
Is an Avios upgrade relevant to downgrade reimbursement?
