How to claim British Airways compensation: an evidence-first process

A strong claim is not the longest complaint. It gives BA the facts needed to pay, preserves disputed evidence and keeps compensation, transport and expenses as separate remedies.
Step 1: preserve the journey before the app changes
Download the booking confirmation and e-ticket while the original sectors remain visible. Rebooking can replace the cancelled or missed service in Manage My Booking. Save each passenger's name, ticket number, reservation code, flight number, scheduled times, cabin and the phrase identifying the operating airline.
Add boarding passes, cancellation messages, delay notices and screenshots of alternatives. Photograph airport boards and any written reason given by staff. For a close delay, note touchdown, stand arrival and first door opening. For cancellation, preserve the first notification with its transmission date.
Create one folder for statutory compensation and another for expenses. This avoids sending an unstructured bundle in which an unpaid GBP 14 meal is confused with a GBP 520 fixed claim.
Step 2: identify the correct carrier
British Airways branding can cover British Airways Plc, BA CityFlyer, BA Euroflyer, a franchise service or a codeshare operated by another airline. UK261 and EC261 generally place the main disruption duties on the operating carrier.
Check all references to "operated by". A BA-marketed transatlantic flight performed by American Airlines is not converted into a BA operation by the ticket stock. Likewise, a service from London City may be performed by BA CityFlyer even though the customer experience uses the BA name.
Name the operating company in the claim and mention that the booking was marketed by BA if relevant. If the documents disagree, attach each one and ask BA to confirm the intended operator. The BA operating-carrier guide provides entity-specific examples.
Step 3: choose the law from the itinerary

Do not choose a regime from passport, residence, booking currency or BA's registered office. A Canadian citizen departing Paris can use EC261; a French citizen leaving Heathrow can use UK261.

Step 4: classify the disruption
For delay, compare scheduled arrival with first door opening at the final destination. At least three hours is the usual fixed-payment threshold. A connection missed on one booking can create a qualifying final delay even when the first flight left less than three hours late.
For cancellation, show when notice was communicated. Notice at least 14 days before departure usually removes fixed compensation. Shorter notice is tested against the departure and arrival times of BA's replacement.
For involuntary denied boarding, prove timely check-in, presence at the gate and valid documents. The compensation right does not depend on a three-hour delay, although prompt rerouting can reduce the amount. Volunteers rely on their negotiated bargain instead.
Cabin downgrade is a separate percentage reimbursement. Baggage damage or delay uses the Montreal Convention, not the UK261 fixed table. Put each event under its proper legal heading.
Step 5: calculate the amount transparently

An intra-EU journey above 1,500 km ordinarily remains EUR 400. Long-distance delay between three and four hours can be reduced by half in relevant cases. For a connecting itinerary, use the straight-line distance between the first departure and final destination rather than adding sector mileage.

Step 6: test the cause before anticipating BA's defence
Ask what event caused the disruption and when it affected the particular service. A claim remains viable unless the carrier proves both extraordinary circumstances and reasonable measures. "Operational reasons" or "late incoming aircraft" does not establish either element.
External ATC restrictions, unsafe weather or airport closure may qualify. Routine component failures, ordinary crew management and airline-controlled systems generally require a different analysis. In Lipton v BA CityFlyer, the Supreme Court held that unexpected pilot illness was inherent in airline operations.
If the day involved several causes, request a time allocation. BA should not attribute an entire final delay to a short external restriction if a later internal problem materially extended it.
Step 7: submit each remedy through the right channel
Use British Airways' online complaint and compensation route for UK261 or EC261 fixed payment. Enter the original flight details even if the app now shows a replacement. List all eligible passengers and attach authority where another adult is represented.
Use the separate expense claim for reasonable meals, hotel, hotel transport, communication and qualifying comparable replacement travel. Provide itemised receipts and explain why BA did not arrange the service. Baggage has its own reporting and claim portal with strict written deadlines.
State the requested outcome near the top. A useful structure is:
- flight and operating carrier;
- disruption chronology;
- applicable law and amount;
- response to any stated cause;
- passenger and payment details;
- attachment list.
Keep the confirmation email, case number and a complete copy of the final text. Do not send irreplaceable originals by post.
Step 8: respond and escalate proportionately
If BA accepts, verify whether the amount covers each passenger and whether expenses were decided separately. If it refuses, isolate the disputed issue: coverage, arrival time, notice, cause, documents or amount. Ask for the evidence behind that point rather than restarting the story.
British Airways participates in CEDR, the CAA-approved alternative dispute provider. A passenger can generally approach the ADR route after an unsatisfactory final response or after eight weeks without a response. The CAA lists BA under CEDR; its own complaint page also directs dissatisfied customers there.
Court limitation varies. CAA guidance notes six years in England and Wales and five years in Scotland, but another applicable forum can produce another period. FAQ
Can one person claim for everyone on a BA booking?
Often yes, but BA may require signed authority from other adults, particularly where surnames differ. List every passenger and individual amount clearly.
Should expenses be added to the compensation figure?
No. Fixed compensation and reasonable care expenses are distinct. Submit the receipt schedule through BA's expense process and preserve both case references.
What if my BA itinerary no longer shows the cancelled flight?
Use the saved original e-ticket, messages and boarding documents. Rebooking should not erase the facts, but it can make reconstruction harder.
Is a solicitor or claims company required?
No. A passenger can submit directly to BA and later use CEDR where eligible. Compare any external fee with the work and risk involved.
