British Airways cancelled flight: refund, rerouting and compensation

When British Airways cancels a protected flight, the passenger normally chooses a refund, rerouting at the earliest opportunity, or travel later at a convenient date subject to availability. Fixed UK261 or EC261 compensation may also be due when notice arrived less than 14 days before departure and BA cannot prove an applicable exception or extraordinary circumstance.

These remedies answer different questions. Do not accept repayment merely because it is the easiest button if you still need BA to take you to the destination. Preserve the first cancellation notice, every replacement offer and the operating carrier before making a binding choice.

Immediate cancellation checklist

  1. Save the email, text or app message showing when BA gave notice.
  2. Confirm whether the flight was cancelled or merely retimed under the same number.
  3. Photograph the original booking and all proposed alternatives.
  4. Decide whether the trip still has a purpose before choosing refund or rerouting.
  5. Request meals, accommodation and transport while waiting where required.
  6. Keep receipts and note the precise reason given at the airport.

If a travel agent made the booking, BA may direct some ticket servicing through that agent. The statutory obligation still concerns the operating carrier and should not disappear into a loop between businesses.

BA's current help page says it will try to offer another service and may allow comparable alternative transport when it cannot provide a suitable option within 24 hours. UK CAA guidance is broader: earliest rerouting can require another airline where that gets the passenger there materially sooner. A commercial 24-hour practice should not be treated as a statutory waiting period in every case.

Ask BA to search its own flights and realistic partner or competitor options. If the airline refuses and delay would be substantial, document the request and response before buying a sensible replacement. The 14-day compensation test

Fixed cancellation compensation is normally unavailable when the airline proves that notice reached the passenger at least 14 days before scheduled departure. Shorter notice is assessed with the replacement timetable.

Outside those windows, the amount usually follows distance: GBP 220/350/520 under UK261 or EUR 250/400/600 under EC261. Defined rerouting reductions may halve the payment when arrival remains within the statutory period.

Notice must be communicated. A schedule entry placed in a booking is not necessarily proof that the passenger received it on that date. Save the transmission headers, agent messages and contact details recorded in the reservation. If an intermediary held the wrong email address, the legal result can depend on who received valid notice and why.

Extraordinary cause affects compensation, not the transport choice

BA can defend the fixed sum by showing that extraordinary circumstances caused the cancellation and could not have been avoided despite reasonable measures. A closed runway, genuine security event or weather incompatible with operation may qualify. Routine engineering work, normal staff management and commercial schedule consolidation are generally different.

Whatever the cause, the basic Article 8 choice between refund and rerouting normally remains. Care also continues where the passenger waits for replacement transport. This distinction prevents a common error: "weather" is not an answer to a request for a new flight or a necessary hotel.

Request facts rather than debate labels. Ask which event affected the aircraft, when the restriction began, whether other comparable flights operated and what alternatives BA investigated. If a prior rotation was involved, require the causal chain to the cancelled service.

Connections, return tickets and lost purpose

On one booking, cancellation of a connecting sector can make flown portions useless in relation to the original plan. Current BA guidance recognises a return to the initial point of departure when a delay or cancellation of at least five hours disrupts a connection of 24 hours or less and the traveller abandons the trip. EC261 and UK261 contain refund and return-transport protections for a journey that no longer serves its original purpose.

Suppose a passenger flies Newcastle-Heathrow, then BA cancels Heathrow-Cape Town. If the holiday can no longer proceed and the booking is one unit, the remedy may include unused sectors plus transport back to Newcastle. Do not cancel the remaining legs in the app before BA records the requested option.

If outbound and return flights were purchased on separate reservations, cancellation of one does not automatically cancel the other. Review fare rules, insurance and package rights. Care and reasonable expenses

While waiting for earliest rerouting, ask for proportionate refreshments, meals, accommodation where an overnight stay becomes necessary, and transport between airport and hotel. BA also recognises two communications and reasonable comparable transport in its published expense categories.

If no voucher or room is provided, make modest arrangements. Retain itemised invoices showing date, business, items and currency. A card statement alone proves payment but not its purpose. Separate care costs from consequential losses such as prepaid attractions, destination hotels or lost earnings.

Choosing a cash refund usually ends care from that point because the passenger has elected not to be carried. Take screenshots of the choice screen and terms before confirming. Submit a complete BA cancellation claim

Include the booking reference, e-ticket, passenger list, original schedule, cancellation notice and replacement offers. State when notice was received and attach the message itself. Identify the operating carrier and governing law, then calculate the amount separately for every passenger.

For compensation, use BA Customer Relations' online route. For expenses, use the expense claim with receipts. If another adult is represented, provide authority where BA requests it. Keep each case number and a PDF or screenshots of the final submission.

If BA says the cancellation was announced early, ask for the communication record. If it invokes an external cause, request event-specific proof and mitigation. Escalation should address the actual disputed element rather than resending the same narrative.

FAQ

Must I accept the replacement flight selected by BA?

No. After cancellation, the law normally offers a choice among refund, earliest rerouting and later travel. Ask for a suitable option before confirming anything.

Can BA offer a voucher instead of returning money?

It may offer one, but a statutory refund is normally payable in money unless the passenger freely agrees otherwise. Read the voucher restrictions first.

Is compensation due when notice came ten days before departure?

It depends on the offered alternative. In the seven-to-13-day window, its departure and arrival times determine whether fixed compensation remains payable.

Does airport closure remove my refund right?

No. It may remove the fixed compensation if the defence is proved, but cancellation still normally requires a refund or rerouting choice.

What if BA cancelled only one sector of my through ticket?

Assess the complete booking and whether the trip still serves its purpose. You may need rerouting to the final destination or, after travel began, a return to the initial departure point.
