Input 1: complete protected journey
Enter the first origin and last destination on one continuous reservation. A London-New York-Orlando itinerary issued together may have Orlando as the final destination even if Virgin operates only the transatlantic sector. If New York-Orlando was bought separately, the Virgin contract may end in New York.
Do not enter a missed train, separately ticketed domestic flight or hotel as the destination. Those losses may be relevant elsewhere, but they do not automatically extend UK261 distance or arrival time. Keep all ticket numbers and booking references to prove whether sectors were sold as one journey.
Input 2: actual operating airline
Look for “operated by” on the e-ticket and boarding pass. Virgin Atlantic Airways Limited uses VS as its designator, but a VS marketing number can appear on Delta, Air France, KLM or another partner operation. Statutory compensation usually follows the airline that operated or intended to operate the disrupted flight.
The distinction changes territorial coverage. Virgin is a UK carrier, so its inbound flights to the UK can generally fall under UK261. A non-UK partner operating the same direction may produce another answer. Aircraft paint, check-in desk and loyalty points are weaker indicators than the formal operator record.
Input 3: event type

A schedule moved materially earlier may be treated as cancellation rather than delay. A passenger who voluntarily cancels has a fare-rule question, not a UK261 cancellation claim. The event label determines the correct test and avoids misleading output.
Input 4: timing
For delay compensation, use arrival at the final ticketed destination. Arrival generally occurs when a door opens and passengers can leave. Long-distance journeys arriving between three and four hours late can receive GBP 260; over four hours can reach GBP 520.
For cancellation, enter when notice reached the passenger and both original and replacement schedules. Fourteen days’ notice normally removes the fixed payment. Shorter notice is tested against different replacement windows. For a five-hour refund, use departure delay and note whether the passenger abandoned travel.
Avoid rounded phrases. “About four hours” is inadequate where the amount may double. Save screenshots and ask Virgin for the exact operational timestamp.
Input 5: cause
Select the real cause, not just the first label in an email. Severe weather, air traffic restriction, airport closure, security event and certain external strikes may amount to extraordinary circumstances. Virgin must connect the event to this flight and show reasonable mitigation.
Routine technical defects, ordinary maintenance and internal resource planning often remain within carrier operations. A hidden manufacturer defect or external aircraft damage may be treated differently. If the response says only “operational reasons”, mark the cause as unverified and request particulars.
The calculator should not suppress reimbursement or care merely because fixed compensation may fail. Those remedies use separate tests.
Input 6: replacement and passenger count
Enter actual arrival on rerouting. Long-distance cancellation and denied-boarding awards can be reduced by half when the alternative reaches the destination within the statutory window. Include each passenger who had a confirmed eligible booking and actually experienced the event.
Ticketed children generally count separately. A lap infant travelling free needs fare analysis. A companion voucher or reward seat is not automatically excluded if it was publicly available under the loyalty programme. Keep proof of points, taxes and any upgrade.
Calculation examples
Virgin-operated Boston-London delay
The passenger arrives four hours and thirty minutes late after an ordinary technical problem. The inbound flight is operated by a UK carrier, the distance exceeds 3,500 kilometres and the cause appears non-extraordinary. Estimated result: GBP 520 per eligible passenger.
Delta-operated Atlanta-London under a VS number
The booking displays VS, but Delta operates the aircraft. The calculator must not use Virgin’s UK status. Assess Delta as operator and the route’s applicable framework. A US-origin flight on a US operator is generally outside UK261 fixed compensation, though DOT refund or contractual rights can remain.
Paris-New York operated by Virgin
The journey leaves the EU, so EU261 can apply regardless of Virgin’s non-EU status. An arrival over three hours late after a controllable cause may produce EUR 600 rather than a sterling UK261 amount.
Short-notice London-Caribbean cancellation
Virgin gives three days’ notice and reroutes the passenger to arrive five hours late. If no extraordinary defence applies, the potential long-distance amount is GBP 520. The ticket refund is unavailable if the passenger used the replacement, but care expenses can be claimed separately.
Read the result correctly
“Potentially eligible” means the route and timing fit, but cause evidence may still change the conclusion. “No fixed compensation” does not mean no rights. Refund, rerouting, care, downgrade or baggage remedies may survive. “Operator unclear” is a prompt to find the e-ticket, not a basis for guessing.

Can the calculator guarantee Virgin will pay?
No. It can test route, timing and stated cause, but the airline’s evidence and contested facts may require ADR or court assessment.
Should I enter landing time or door-opening time?
Use the time passengers were first permitted to leave the aircraft where available. Touchdown can understate the legally relevant delay.
Why does a long-haul result show GBP 260?
For a journey over 3,500 kilometres, a final delay between three and four hours normally uses the reduced GBP 260 amount.
Does a VS flight number prove UK261 coverage?
No. Confirm the operating carrier. A partner-operated service can have a VS marketing code without Virgin controlling the flight.
Can expenses be entered as compensation?
Keep them separate. Fixed compensation uses statutory bands, while hotel, meal, transport and replacement-ticket costs require receipts and reasonableness.
