Kenya Airways replacement flight or train cost refund
A passenger who buys reasonable replacement travel after Kenya Airways fails to provide required rerouting can have a strong reimbursement claim, but self-booking is not automatically repaid. On a protected EU or UK cancellation or denied boarding, first ask KQ for transport to the final destination at the earliest opportunity, document suitable alternatives and record the refusal or failure before purchasing.

Check your case in the form
Enter your route, date and type of disruption. We will check whether your case qualifies for a claim under EU 261/2004 or UK261.
What happened to your flight?
Claim up to €600 for a delayed or cancelled flight.
Choose the situation that applies to your flight:
For a KQ-operated journey beginning in Nairobi, rely primarily on Kenya Airways' Conditions of Carriage and proven Montreal Convention loss. Get agreement where possible because EU261 and UK261 normally do not cover that direction.
When independent purchase is strongest
| Fact | Effect on reimbursement case |
|---|---|
| KQ cancels a protected flight and offers no timely reroute | Strong foundation for reasonable substitute cost |
| Passenger identifies available comparable seats and KQ refuses | Shows the airline had an opportunity to perform its duty |
| Passenger books a proportionate fare to the final destination | Supports mitigation |
| Passenger buys luxury travel without contacting KQ | Creates a significant dispute |
| Passenger accepts a full refund, then buys a new trip | Replacement price is not automatically added to the refunded fare |
The claim should show necessity, reasonableness and causation, not merely a receipt.
Rerouting at the earliest opportunity
EU261 requires a covered passenger to be offered reimbursement or rerouting. If rerouting is chosen, the airline must transport the passenger at the earliest opportunity under comparable conditions. The duty is not written as "the next Kenya Airways flight."
KQ should examine practical services by partner and non-partner airlines. Alliance membership can make rebooking easier but does not define the legal limit. A rail sector or ground transfer may be a sensible part of the solution when it reaches another departure airport or completes a short final leg.
UK passengers have corresponding rerouting rights. The UK Civil Aviation Authority advises airlines to look at other carriers and transport modes when necessary, especially when their own alternative is much later.
Give KQ a genuine chance to reroute
Contact the airport desk, ground handler and written support channel. State that you choose rerouting at the earliest opportunity, identify the suitable service and ask KQ to reissue the ticket. Record time, agent name and response.
If the desk is closed or queues make the alternative disappear, capture the situation and send a timestamped message. The law does not require an impossible wait, but the evidence should explain why immediate self-booking was necessary.
Do not quietly buy a second ticket while a reasonable confirmed KQ reroute is already available. Personal preference for a particular airline or a slightly earlier arrival may not justify the extra cost.
Choosing a reasonable substitute
Match the original destination and broadly comparable cabin. If only an expensive last-minute Economy seat is available, screenshot the search results and alternatives. Business Class can be defensible when the original ticket was Business and no lower comparable option exists; an upgrade from Economy is much harder to recover.
Avoid adding unrelated stopovers, premium transfers or companions who were not on the disrupted booking. Buy only what is needed to complete the journey and keep a fully itemised invoice.
Where a train connects Paris to another airport with an available long-haul service, record why the combined option was earlier and proportionate. A train chosen instead of an offered same-day flight solely for sightseeing is not equivalent mitigation.
Refund choice versus replacement cost
Reimbursement and rerouting are alternatives under Article 8. If a passenger clearly chooses a full ticket refund, KQ can argue that its duty to carry ended and the later purchase was a new journey. Select the remedy carefully.
When KQ unilaterally refunds without informed choice, object promptly if rerouting was requested. Preserve the message showing that the passenger did not elect reimbursement.
Fixed compensation is independent. An eligible Amsterdam cancellation can produce EUR 600 in addition to reasonable rerouting expense. The original fare refund, however, may need to be accounted for so the passenger does not recover the same transport value twice.
One booking to a final destination
For Paris-Nairobi-Mombasa on one ticket, rerouting should reach Mombasa. A replacement purchased only to Nairobi does not necessarily complete KQ's duty, and a passenger buying Nairobi-Mombasa should document why KQ failed to protect the onward sector.
Separate tickets are more difficult. If KQ's contract ends in Nairobi, the cost of a separately booked connection can be consequential loss rather than statutory rerouting. Travel insurance, package rights or Montreal damage may need review.
Use the Europe-Africa connection guide to establish whether the journey is one protected operation.
Nairobi-origin disruption
Kenya Airways' Conditions state that after specified cancellation, schedule failure or missed connection it may reroute passengers on its own services, another carrier or other mutually agreed transport, or make an involuntary refund. Quote the relevant booking facts and request written agreement before self-booking.
If KQ offers an acceptable contractual route and the passenger rejects it for convenience, recovering a more expensive replacement becomes unlikely. If no route is provided and delay causes proven financial damage, Montreal Convention principles can support a claim subject to the carrier's defence and the passenger's mitigation.
Do not attach EUR 600 to a standalone Nairobi departure merely to strengthen the demand. A legally accurate contract and damages claim is more credible.
What the reimbursement file needs
Keep:
- original ticket and receipt;
- cancellation or denied-boarding proof;
- written election of earliest rerouting;
- KQ's offer, refusal or lack of response;
- screenshots showing replacement seats and prices;
- new ticket, boarding pass and proof it was used;
- original and actual final-arrival times;
- any original fare refund.
Create a short chronology and explain why the selected route was the least costly practical solution. Convert currencies transparently and retain card statements as payment proof, but do not substitute them for invoices.
Submit separate amounts
Label the replacement fare, care expenses and fixed compensation independently. A new ticket is not a meal expense, and EUR 600 does not reimburse the fare.
Use Kenya Airways' after-travel channel and attach a single indexed evidence pack. The claim-form guide shows how to retain the submission reference. If KQ responds only to one category, ask for a decision on the others.
For an agency-issued original ticket, the agent may administer any unused-fare refund. The operating airline remains central to statutory rerouting failure; do not let each party redirect the entire complaint without identifying which remedy it controls.
Worked replacement examples
KQ cancels Amsterdam-Nairobi and offers travel three days later. A same-evening Economy itinerary on another carrier is available. The passenger asks KQ to book it, receives a written refusal and buys the lowest comparable fare. The record supports reimbursement of that reasonable substitute, plus a separate EU compensation assessment.
A Heathrow passenger accepts a full involuntary refund and then books a Business Class holiday departure one week later. That later fare is not automatically a rerouting expense because the passenger chose reimbursement and created a new itinerary.
For Nairobi-Paris, KQ cancels and offers no option despite its Conditions. The passenger agrees in writing that a named replacement can be purchased, then travels. Contractual reimbursement is much stronger than if the passenger had booked silently.
FAQ
Can I buy another airline after KQ cancels?
Yes when necessary, but first request the reasonable alternative from KQ and document its failure to reroute.
Must the substitute be the cheapest ticket?
It should be proportionate and comparable; preserve evidence when only costly last-minute seats remain.
Can a train ticket be reimbursed?
It can when rail is a reasonable part of completing or accessing the earliest suitable reroute.
Can I take a refund and also claim the entire new ticket?
Not automatically. Refund and rerouting are alternatives, and duplicate recovery of the same transport value is not allowed.
Does this work for Nairobi departures?
Potentially under KQ's contract and Montreal damages, but EU or UK rerouting law normally does not apply to KQ-operated Nairobi departures.
