Kenya Airways compensation claim form and contact routes

Use Kenya Airways' dedicated flight-disruption portal for EU261 or UK261 compensation, not the ordinary ticket refund widget. Fare reimbursement, general feedback, baggage and KQ Upgrade repayment each have distinct routes. The correct channel depends on the remedy, ticket issuer and operating carrier.

Before opening a form, check the journey's legal coverage. The KQ disruption portal is relevant to a protected EU or UK departure; it does not make every Nairobi-origin flight eligible simply because the page accepts flight details.

Sending the same narrative through every route can create duplicate references without improving the evidence. Use one case per remedy and cross-reference related numbers.

The EU and UK disruption portal

Kenya Airways' current claim portal expressly refers to EU/EC/UK261. It asks the passenger to start with a ticket number in the 706 format. A traveller who cannot locate it can enter flight details manually.

The visible process is divided into eligibility, personal information, documents and confirmation. Prepare these items before starting:

  • 706 ticket number or full flight data;
  • booking reference and passenger name as ticketed;
  • initial departure and final destination;
  • disruption type and date;
  • scheduled and actual final arrival;
  • operator for the affected sector;
  • cancellation notice or denied-boarding evidence;
  • attachments in accepted file formats;
  • secure payment details only when requested appropriately.

Take a screenshot of the final confirmation and save the reference. A completed form that was never submitted is not a pending complaint.

The general feedback form

KQ's general form asks for the support type, service, passenger contact, residence, comments and up to four attachments. It also directs passengers affected on journeys from the EU or UK toward the dedicated claim route.

Use general feedback for service failings that are not adequately represented in the statutory portal. Examples include an incomplete airport explanation, conduct by customer service or a request for documents. If the issue is fixed compensation, follow the portal link rather than leaving the legal demand only in a broad comments box.

The current Conditions of Carriage state that a website complaint is acknowledged immediately with a service reference and receives a substantive response within 21-30 working days. Preserve both the confirmation and any later change of case number.

Online refund route

For tickets bought on Kenya-airways.com, the online refund page describes Manage Booking and form options according to whether travel is still active. It also provides separate routes where KQ cancelled and no alternative was taken, or where a passenger abandoned after more than eight hours of delay.

Important warnings include:

  1. a refund request can cancel the entire reservation;
  2. repayment uses the original payment method;
  3. eligibility remains subject to ticket and event rules;
  4. agency-issued tickets cannot be refunded by KQ through that process;
  5. published processing is 21-30 business days plus bank time.

Baggage is not a flight-delay form

A delayed or damaged checked bag should be reported at the airport and assigned a property irregularity reference. Kenya Airways' baggage page instructs passengers to quote that reference in a written claim.

International damage notice is generally due within seven days of receipt, and delay notice within 21 days after the bag is made available. A flight-disruption claim submitted within those periods is not necessarily a valid baggage notice. Send the luggage demand through its own route and preserve delivery date, receipts and contents evidence.

KQ Upgrade refund documents

Kenya Airways' bid-upgrade terms provide a refund in specified airline-attributable situations, including cancellation followed by Economy rerouting or inability to seat the accepted passenger in Business Class. The current instructions require the Business ticket or boarding pass and the email confirming the upgrade.

The terms currently state that such an upgrade refund claim should be raised within three months of departure. This is a product deadline, not the limitation period for EU261 or Montreal claims. If an EU or UK downgrade also occurred, present the statutory percentage repayment separately from return of the paid bid.

Agent and codeshare responsibilities

The seller, ticketing carrier and operating airline can be different. An online agency may control the fare refund because it took payment. Kenya Airways can remain responsible for an EU261 or UK261 event on a flight it operated. KLM or Air France may instead be responsible where the partner performed the affected sector.

Use the itinerary to identify:

  • merchant of record;
  • ticket number prefix;
  • marketing flight number;
  • “operated by” airline;
  • party that changed the schedule;
  • party holding the unused fare.

What to write in the compensation form

Lead with a checkable statement: “This continuous reservation departed Paris-CDG, was operated by Kenya Airways and reached Entebbe 6 hours 18 minutes late.” Then identify the legal rule, amount per passenger and cause information available.

List expenses separately. Attach the e-ticket, operator disclosure, original and replacement passes, messages and final-arrival evidence. Avoid uploading ten versions of the same screenshot when four attachment slots are available; combine related records into a legible PDF without altering their content.

If no useful response arrives within the stated complaint period, follow the escalation route for the journey. Do not send identity or banking details to unofficial social-media accounts claiming to represent KQ.
