Kenya Airways cancelled flight: refund, rerouting and compensation

When Kenya Airways cancels a covered flight, the passenger normally chooses reimbursement or rerouting and may also receive EUR 250-600 or GBP 220-520 if the notice and cause tests are met. EU261 can protect a Kenya Airways journey beginning in the EU/EEA; UK261 can protect one beginning in the United Kingdom. A Kenya Airways-operated cancellation from Nairobi to Europe is usually outside those fixed-sum systems, although the ticket contract still provides practical remedies.

These decisions are independent. A traveller may take Kenya Airways' replacement flight and still claim a fixed amount. Another passenger may choose reimbursement because the trip has lost its purpose and also retain a compensation claim. The payment should not be described as the ticket price returned twice; the legal functions are different.

Refund or rerouting on a covered journey

EU261 and UK261 give a protected passenger a choice rather than allowing the airline to impose one solution.

Reimbursement

Reimbursement covers the unused ticket and can include travel already completed when it no longer serves the original plan, together with a return to the starting point where relevant. This matters for a connection passenger stranded partway through a journey.

Earliest rerouting

The airline should seek comparable transport to the final destination at the earliest opportunity. If a suitable KLM, Air France or another-carrier option arrives materially earlier than the next Kenya Airways service, ask for it in writing. Kenya Airways' own Conditions of Carriage contemplate another carrier when necessary.

Later travel

EU261 and UK261 also allow rerouting at a later date convenient to the passenger, subject to seats. This is not identical to accepting a limited-value voucher and buying a new ticket from scratch.

When fixed cancellation compensation applies

The first notice is decisive. If Kenya Airways informed the passenger at least 14 days before scheduled departure, the normal EU or UK fixed sum is not due. Notice within 14 days requires comparison of the original and replacement timings.

If those narrow conditions are not met, fixed compensation may remain due unless Kenya Airways proves extraordinary circumstances and reasonable measures. Long-distance rerouting that reaches the destination within four hours of the original schedule may support a 50% reduction.

The airline bears the burden of proving when the passenger was informed. A travel agent's internal message is not automatically notice to the traveller. Save email headers, application alerts and screenshots that show when the information became available.

Direction examples for Kenya Airways

Amsterdam-Nairobi cancelled

This is an EU departure even when Kenya Airways operates. The passenger can choose the Article 8 remedy and test EUR 600 based on notice, substitute schedule and cause.

Heathrow-Nairobi cancelled

The UK departure can fall under UK261. A long-distance fixed amount can reach GBP 520, while rerouting, reimbursement and care remain separate.

Nairobi-Paris cancelled

Kenya Airways is not an EU carrier, so a standalone Nairobi-origin KQ operation is normally outside EU261. Its Conditions of Carriage nevertheless offer transport on another KQ service, another carrier if necessary, mutually agreed transport, or an involuntary refund. Kenya consumer routes and proven Montreal losses may also need review.

Nairobi-Amsterdam operated by KLM

The operating airline is different. An EU carrier's arrival from a third country can fall within EU261, so the claim should not be rejected solely because the ticket bears a KQ code.

Extraordinary circumstances do not end the analysis

Severe weather, air traffic control decisions, airport closure, security events or some external strikes may exempt Kenya Airways from the fixed payment. The carrier should identify the event and show how it caused this cancellation despite reasonable measures.

Even where the cause is extraordinary, a protected passenger still has the refund-or-rerouting choice and right to reasonable care. A cancellation caused by unsafe weather can require hotel accommodation for several nights if that is how long the earliest reasonable rerouting takes.

Routine maintenance problems and internal operational planning are not automatically extraordinary. Ask for a concrete explanation, including whether another aircraft, crew arrangement or partner rerouting was available.

Costs while waiting for the replacement

For a protected departure, Kenya Airways should provide food and drink proportionate to the wait, communication, and hotel accommodation with transport when an overnight stay is necessary. If support is refused or unavailable, purchase reasonable essentials and keep itemised receipts.

Do not confuse care with compensation. A meal voucher does not settle a EUR 600 or GBP 520 claim. Likewise, accepting a hotel room does not waive the right to reimbursement or rerouting. Any proposed release should be read before signature.

Claim procedure after the journey

Gather the original reservation, 706 ticket number where relevant, cancellation notice, replacement itinerary, final arrival, operated-by information and receipts. Build a timeline from the first message through completion or abandonment of travel.

Use the dedicated Kenya Airways disruption claim portal for EU261 or UK261 fixed compensation. Use the refund process for an unused direct-sale ticket and the ticket issuer where an agent controlled the payment. Identify each remedy separately:

  1. fixed compensation per passenger;
  2. reimbursement of unused fare, if selected;
  3. rerouting or replacement-transport cost;
  4. meals, room and transfer expenditure;
  5. any distinct Montreal Convention loss.

If the airline sends a voucher without consent, state whether it is rejected and repeat the requested payment method. EU261 requires signed agreement before fixed compensation is paid in travel vouchers. The current Kenya Airways complaint terms refer to a substantive response within 21-30 working days.

FAQ

Must I accept the replacement chosen by Kenya Airways?

No. On a covered cancellation, compare reimbursement, earliest rerouting and later-date travel before selecting the remedy that fits the trip.

Does choosing a refund cancel fixed compensation?

Not automatically. Reimbursement and fixed compensation have separate conditions and can both be due.

Is Nairobi to London covered by UK261?

Normally not when Kenya Airways operates a separate journey from Nairobi, because it is not a UK or EU carrier.

What if Kenya Airways blames weather?

Weather may remove the fixed sum if proved, but protected passengers still retain care and refund-or-rerouting rights.

Can I ask for a different airline?

Yes, request a reasonable earlier option. Both statutory rerouting principles and Kenya Airways' contract can support another carrier where necessary.
