Kenya Airways refund, voucher or rerouting

After Kenya Airways cancels a protected EU or UK flight, the passenger chooses reimbursement or rerouting; the airline should not force a voucher. Reimbursement generally ends KQ's duty to carry the unused journey, while rerouting preserves transport to the final destination. Fixed compensation and reasonable care are separate and can still be claimed when their own conditions are met.

For KQ-operated departures from Nairobi, EU261 and UK261 normally do not apply. Kenya Airways' Conditions of Carriage and its separate more-than-eight-hour direct-booking refund process then become especially important.

Current EU and UK cancellation rights

EU261 Article 8 gives a passenger affected by cancellation a choice between reimbursement within seven days, rerouting at the earliest opportunity or rerouting later at the passenger's convenience subject to seat availability. If an outbound journey has become pointless, reimbursement can include a return to the first point of departure and relevant used sectors.

UK261 preserves corresponding choices for a covered UK departure. Kenya Airways flights from Heathrow or Gatwick can qualify even though KQ is a Kenyan airline. Amsterdam and Paris departures can qualify under EU261.

A standalone KQ flight from Nairobi to those destinations normally falls outside both regimes. The destination alone does not create European or British coverage.

Rerouting is not limited to the next KQ seat

The statutory wording requires rerouting at the earliest opportunity under comparable transport conditions. When Kenya Airways' next service creates an avoidable multi-day delay, ask it to examine suitable partner and other-carrier options. KQ's own Conditions also contemplate travel on another carrier or other mutually agreed transport in specified disruption cases.

Comparable conditions do not guarantee the same flight time or every ancillary feature. They do require a genuine route to the final ticketed destination. If Business Class is replaced with Economy, preserve a separate downgrade claim rather than refusing all transport without considering the circumstances.

Ask for baggage protection and every onward sector to be reissued. A replacement only to Nairobi is incomplete when one booking continues to another African destination.

When reimbursement makes sense

Choose money back when the journey no longer serves its purpose or a workable alternative is unavailable. State that the refund is involuntary because KQ disrupted the flight. This avoids accidental application of a restrictive voluntary-cancellation fare rule.

On a protected delay of at least five hours, EU and UK rules can also allow reimbursement when the passenger elects not to travel. This is different from fixed compensation at three hours and different again from KQ's company process after more than eight hours.

Do not cancel through a generic manage-booking button before recording the disruption. It may classify the request under the ticket's voluntary fare conditions and deduct penalties.

Kenya Airways' more-than-eight-hour route

KQ publishes a dedicated online refund option for certain passengers who booked directly on its website and abandon travel after a delay exceeding eight hours. Current instructions warn that the whole booking may be cancelled, payment returns to the original method and processing can take 21-30 business days.

Tickets issued by a travel agency normally need to go through that agency for the fare refund. The eight-hour KQ refund guide explains how this company process differs from statutory five-hour reimbursement.

The presence of an eight-hour button does not postpone an EU cancellation refund right, nor does using a refund automatically establish EUR 600 compensation.

Voucher checks

A voucher can be worthwhile when its value exceeds the cash refund and the passenger expects to fly KQ again. Before agreeing, record:

  1. exact value and currency;
  2. expiry and booking deadline;
  3. whether travel can occur after expiry;
  4. passenger-name restrictions;
  5. whether taxes and fees can be paid;
  6. treatment of unused residual value;
  7. whether acceptance settles other claims.

Under EU261, reimbursement in travel vouchers requires the passenger's signed agreement. Silence, a preselected box or the airline's preference should not replace informed consent.

Do not accept a broad settlement if you intend to retain a fixed-compensation or expense demand. Ask KQ to confirm the voucher covers only the ticket refund where that is the agreement.

Fixed compensation remains separate

A passenger rerouted after a short-notice KQ cancellation from Amsterdam may still claim EUR 600 if no timing exception or extraordinary defence applies. Accepting the replacement does not erase that claim.

Choosing reimbursement also does not automatically erase fixed compensation. The two remedies answer different questions: one repays transport not provided, while the other addresses qualifying loss of time and inconvenience.

Hotel, meal and transfer costs during a protected wait form a third category. Present all three separately with their legal and factual basis.

Nairobi departures and Montreal loss

For KQ-operated Nairobi-Europe travel, use the Conditions of Carriage to request rerouting or involuntary refund after cancellation, material schedule failure or a protected missed connection. Ask for the available options in writing before buying another ticket.

The Montreal Convention can support proven delay damage, subject to its defences, limits and mitigation requirements. It does not create an automatic EUR or GBP award. Keep evidence of non-refundable accommodation, replacement transport and attempts to reduce loss.

If KLM or Air France actually operates the incoming flight, reassess EU261 using that operator. The ticket number and KQ marketing code are not enough.

How to record the choice

Save the e-ticket receipt, fare rules, cancellation notice, operating carrier, every reroute offered and screenshots of available alternatives. Send a clear statement: "I choose rerouting at the earliest opportunity" or "I choose involuntary reimbursement and will not travel." Avoid ambiguous requests for both completion and a full refund.

For a refund, specify unused sectors and explain if used travel no longer served the original plan. For rerouting, identify the final destination and reasonable alternative requested. Keep the case number and payment confirmation.

Worked choices

KQ cancels Paris-Nairobi the evening before travel and offers a service two days later. A passenger attending a one-day event chooses reimbursement because the trip has lost its purpose. The fare refund does not prevent a separate EUR 600 demand if cancellation compensation conditions are met.

Another passenger still needs to reach Nairobi. A same-day reasonable route on another carrier has seats, but KQ displays only its own next-day flight. The passenger should request the earlier option in writing and preserve availability before considering an independent purchase.

A Nairobi-Amsterdam traveller abandons a qualifying direct web booking after more than eight hours. KQ's online refund route may apply, but EU261 fixed compensation normally does not because Kenya Airways operated the departure from Kenya.

Can Kenya Airways force me to accept a voucher?

No on a protected EU cancellation; voucher reimbursement requires the passenger's agreement.

Does a refund cancel my compensation claim?

Must KQ reroute me on another airline?
