American Airlines compensation form: which contact should you use?
Use American Airlines Customer Relations for an eligible EU261 or UK261 fixed-compensation request, the refund portal for unused ticket money, and the baggage process for delayed or damaged luggage. Selecting the wrong channel can produce an irrelevant answer. Fixed compensation should be claimed only when the American-operated flight departed Europe or the UK, unless an eligible partner operated the inbound segment.

Confirm that American is the respondent
Read “operated by” on the confirmation. If American supplied the aircraft and crew for a Madrid-Dallas disruption, claim against American under EU261. If Iberia operated an AA-coded Miami-Madrid flight, Iberia is the relevant operating carrier for an inbound EU claim.
American Eagle segments can be flown by regional airlines. Keep the named operator and do not assume that the American brand answers every legal question. For refund of an American-issued ticket, the ticketing channel can still matter separately.
What to put in the compensation form
Prepare concise entries for:
- booking reference and ticket number;
- passenger names exactly as ticketed;
- flight number, date and route;
- actual operating airline;
- original final destination;
- scheduled and actual door-opening time;
- cancellation notice date and replacement schedule;
- stated reason for disruption;
- amount requested per passenger;
- expense subtotal and itemised receipts.
In the narrative, establish territorial scope first. For example: “This American-operated flight departed Rome and is covered by Regulation 261/2004.” For Heathrow, identify UK261. Do not lead with passenger nationality or the location where the ticket was bought.
Attachments that make the form useful
Upload the original e-ticket receipt, boarding passes, cancellation message, replacement itinerary and final-arrival evidence. Include an operated-by screenshot if the booking contains codeshares. For expenses, attach itemised receipts and explain why each purchase was necessary.
If the form limits attachments, combine related pages into a legible PDF without altering content. Keep originals locally. Screenshot the completed narrative and confirmation page; online forms sometimes do not email the full text back.
Never send full payment-card numbers or unnecessary identity documents. Provide only information relevant to the claim and use American's official domain.
Refund portal versus compensation form
The refund portal handles the value of unused tickets and eligible ancillary services. It does not automatically decide EUR 600 or GBP 520. A customer can therefore have a refund case and a separate compensation case after a covered cancellation.
For an American-operated New York-Paris cancellation, the refund portal may be the correct remedy if the passenger rejected rebooking. The Customer Relations form should not claim EU261 fixed compensation unless a European operator or another material fact changes coverage.
For a Paris-New York cancellation, both channels may be needed: refund portal for unused fare and Customer Relations for EU261 compensation and care expenses.
Baggage starts at the airport
Report delayed or damaged baggage before leaving the airport where possible. American issues a 13-character file reference that supports tracking and the later claim. Keep baggage tags and photographs.
Delayed-bag essential purchases and damage use Montreal Convention procedures, not the EU261 form. Written deadlines can be short. A flight-compensation case and a baggage case should have distinct evidence and totals.

How to phrase an expense request
State what care American should have provided, how you requested it and why self-funding was necessary. List date, merchant, purpose, currency and amount. Convert totals only if the form requires it, and retain original-currency receipts.
An example entry is: “After cancellation of the covered Heathrow departure, no hotel was provided. Customer Relations chat at 22:14 advised us to arrange accommodation. I request GBP 148 for one reasonable room and GBP 24 for airport transport; receipts and chat are attached.”
This is stronger than uploading a card statement without context.
After pressing submit
Save the case number, date, full narrative and attachment list. Check junk mail for confirmation. Avoid opening multiple duplicate cases before American has a reasonable opportunity to link the evidence, because fragmented references can delay review.
