How to claim American Airlines compensation step by step
Submit a fixed-compensation claim to American Airlines only after proving that the disrupted operation departed the EU, EEA, Switzerland or the UK. Step 2: define the disruption
For delay, record scheduled and actual arrival at the final destination. The ordinary threshold is three hours, measured when a door opens and disembarkation is allowed. For a one-ticket connection, use the last destination.
For cancellation, record the date notice reached you, replacement departure and final arrival. Notice under fourteen days can support compensation, subject to statutory replacement windows and cause.
For denied boarding, retain proof that you presented on time with valid documents and did not volunteer. For downgrade, preserve the original and flown cabin; its remedy is a percentage refund.
Step 3: identify the amount
EU261 bands are currently EUR 250, EUR 400 and EUR 600. UK261 bands are GBP 220, GBP 350 and GBP 520. Distance and certain replacement-arrival or long-delay reductions affect the result.
Show arithmetic per passenger. A family of four with four eligible paid tickets can have four fixed claims. Put hotel, meals and transport receipts in a separate expense total.

Step 4: build the evidence pack
Attach or preserve:
- e-ticket receipt and booking reference;
- original itinerary and every boarding pass;
- the words “operated by” for each relevant segment;
- cancellation notice or final door-opening evidence;
- replacement itinerary and final arrival;
- American's stated reason;
- itemised care receipts;
- passenger names and authority to act;
- earlier correspondence and reference numbers.
Use copies rather than irreplaceable originals. Name files clearly, for example original-itinerary.pdf and final-arrival.png. One organised submission is easier to assess than many disconnected messages.
Step 5: write a fact-led claim
A useful opening is:
I claim under EU261 for American Airlines flight [number], operated by American and departing [EU airport] on [date]. The protected final destination was [city]. Scheduled arrival was [time], and a door opened at [time], producing a delay of [minutes]. I request [amount] per eligible passenger.
For a UK departure, replace EU261 and euros with UK261 and pounds. Then describe the cause evidence, passenger list and expenses. Ask American to identify the exact extraordinary event and reasonable measures if it disputes liability.
Avoid emotional narrative before the essential facts. Harm and inconvenience are understandable, but the statutory payment depends on scope, event, timing and cause.
Step 6: use the correct American channel
American provides online contact forms for customer relations and a separate refund portal. A fixed-compensation claim belongs in a customer-relations channel that allows itinerary and supporting details. An unused-ticket refund request should use the refund route. Step 7: assess the response
American may pay, ask for documents, deny coverage or invoke extraordinary circumstances. Check whether the response addresses the correct direction and operator. A claim from Paris should not be rejected solely because American is a US airline.
If cause is vague, request:
- the specific event and location;
- its timing and link to your aircraft;
- operational records supporting the assertion;
- reasonable measures considered;
- the calculation behind any reduced amount.
Do not repeat a fixed EU claim for an American-operated US-origin flight unless an operator or itinerary fact genuinely changes scope.
Step 8: escalate proportionately
The competent enforcement or court route can depend on departure country, arrival, contract and jurisdiction. Preserve proof of the initial complaint and final response. Some alternative-dispute systems require the airline to have had an opportunity to answer first.
National limitation periods vary. Do not wait for a future uniform procedure. As of 14 August 2026, the adopted EU nine-month submission rule is not yet the currently applicable general deadline.

Ineligible inbound claims: request the right remedy
For an American-operated US-to-Europe flight, do not state that EU261 or UK261 automatically applies. If American cancelled or significantly changed travel and you declined alternatives, request a cash refund under DOT rules. If baggage was disrupted, use Montreal Convention evidence and deadlines. If a European partner operated the segment, redirect the fixed claim to that operator.
This narrower request is more credible and protects time for claims that can actually succeed.
Submission checklist
