Virgin Atlantic damaged baggage: PIR and claim deadlines
Photograph damaged Virgin Atlantic baggage before leaving the airport, report it immediately, obtain a property irregularity reference and send a written monetary claim within seven days after receiving the bag. The Montreal Convention ceiling is currently 1,519 SDR per passenger for combined proven baggage loss. It is not an automatic payout, and ordinary wear may be excluded.

Airport damage checklist
- Photograph every damaged area and the whole bag.
- Report at the baggage service point before leaving arrivals.
- Obtain the report number and confirm passenger details.
- Keep the baggage tag, boarding pass and itinerary.
- Photograph contents damaged by impact or water.
- Ask whether Virgin requires inspection, repair quotation or approved supplier.
If the desk is closed, document that fact and use Virgin’s official channel immediately. The seven-day written period is short.

Describe function, not only appearance. A scratch is different from a crack that makes the case unsafe to use.
Seven-day written complaint
Under the Montreal Convention, a passenger should complain in writing about checked-baggage damage immediately after discovery and no later than seven days from receipt. An airport report is important, but submit the detailed claim with requested amount, photographs and documents as well.
Count conservatively and do not wait for a repair shop if the deadline is approaching. Send the claim with available evidence and state that a quotation will follow. Save submission confirmation and attachments.
Hidden damage discovered after leaving should be photographed immediately. Explain why it was not visible earlier and when the bag was opened. The absence of an airport report makes proof harder but should not prevent prompt written notice.
Repair, replacement and depreciation
Montreal compensates proven damage, not an automatic new-for-old upgrade. A repairable suitcase can justify reasonable repair cost. If repair is impossible or uneconomic, current value and replacement evidence matter. Age, condition and depreciation can reduce the amount.
Obtain a written repair quotation and, where possible, an opinion that the damage is beyond repair. Keep purchase receipt, model, photographs from before travel or a comparable product listing. Do not inflate a used bag to the price of a premium new model.
If Virgin directs the passenger to an approved repair service, follow reasonable inspection instructions. Record delays and retain the damaged item until the claim is resolved.
Contents damaged inside the bag
List each item, damage, purchase date, original price, current value and proof. Fragile, valuable or inadequately packed contents may be subject to exclusions and causation disputes. Show how impact or water affected the bag and contents.
Electronics require diagnostic evidence where possible. Clothing can need cleaning or repair rather than replacement. Medication and essential items should be documented carefully, including any urgent replacement.
Do not include delayed-baggage essentials in the damage list without separating them. The same trip can have both delay and damage, but each receipt should have one explanation.
1,519 SDR ceiling
The Montreal baggage limit increased to 1,519 Special Drawing Rights per passenger from 28 December 2024. SDR value in pounds or another currency varies. The ceiling generally covers combined baggage damage for that passenger in the relevant carriage, including suitcase, contents and related proven loss.
It does not pay automatically and is not per bag. Two damaged cases checked by one passenger do not produce two limits. Conversely, family ownership and check-in records should be documented where items belonging to several passengers were packed together.
Passengers carrying unusually valuable items can explore a special declaration of interest before travel and pay any required supplement. After damage, such a declaration should be included in the claim.
Multi-carrier itinerary
Virgin may operate one sector while Delta, Air France, KLM, IndiGo or another airline handles another. Montreal can permit claims against certain actual, first or last carriers. Report at the final destination and preserve all baggage tags and operated-by details.
Do not assume the carrier that delivered the damaged bag must be the only respondent, or that Virgin is responsible merely because it issued the ticket. Ask for written transfer if one airline redirects the file.
Separate tickets can interrupt baggage carriage where the passenger collected and rechecked the bag. Identify the sector after which damage was first visible.
Baggage damage and flight compensation
UK261 fixed compensation does not cover suitcase damage. A passenger can separately claim GBP 520 for a qualifying flight disruption and Montreal damages for the bag. The two remedies address different harm.
Care expenses, delayed-bag essentials and damage repair should also be separated. Do not recover the same replacement item as both delay purchase and destroyed content.

Claim package
Attach airport report, baggage tag, boarding pass, itinerary, photographs, repair quotation, purchase receipt or value evidence, inventory and any special declaration. State the date the bag was received and the date damage was discovered.
Request repair cost or proven current replacement value, explain contents separately and keep the total within evidence rather than simply demanding 1,519 SDR. Save the written claim and case reference.

Is a PIR enough for a damaged-bag claim?
It is strong initial evidence, but submit a detailed written claim with photographs, value proof and requested remedy within seven days.
Can I throw away the broken suitcase?
Not before Virgin has a reasonable chance to inspect it or authorises disposal. Keep photographs and the item while the claim is open.
Does Virgin have to buy a brand-new bag?
Not automatically. Repair cost, economic repairability, age, condition and depreciation determine proven loss.
Is 1,519 SDR paid per suitcase?
No. It is a liability ceiling per passenger for combined proven baggage loss in the relevant carriage.
Can I claim GBP 520 for damaged baggage?
