United Airlines family and group compensation claims

EU261 and UK261 fixed compensation is calculated per eligible passenger, not per reservation. A family or group on a covered United departure can therefore have several EUR 250-600 or GBP 220-520 claims, while shared hotel, meal or taxi costs are reimbursed only at their actual evidenced amount.

One PNR does not create one statutory payment. Equally, five passengers cannot turn one EUR 60 taxi into five EUR 60 expense claims.

Adults, children and infants

A child travelling on a confirmed commercial ticket can qualify under the same route and disruption tests as an adult. The fixed amount is not reduced merely because the child fare was lower.

Infant cases need the ticket documents. Confirm whether the infant had an e-ticket, paid fare or taxes, occupied a seat, or travelled under a free arrangement not available to the public. Regulation 261 includes frequent-flyer tickets but excludes certain free or private reduced fares. Do not promise a fixed amount without checking the legal basis of carriage.

Keep birth date only where needed and transmit documents securely. Avoid uploading unnecessary identity documents to a generic channel.

Territorial scope for a whole family

United-operated departures from the EU, EEA, Switzerland or UK can be covered regardless of United's US nationality. Dublin-Newark can qualify under EU261; Heathrow-Chicago can qualify under UK261.

United-operated US-Europe returns normally do not qualify for the European or UK fixed amount. A family round trip therefore can have protection outbound but not inbound. Ticket purchase location and return format do not reverse the direction test.

Codeshare operation can change the inbound answer. If Lufthansa operates a UA-numbered US-Frankfurt flight, EU261 may apply because the operator is an EU carrier. Save the operated-by line for every family member's itinerary.

One booking and missed connections

For directly connecting flights on one booking, calculate each passenger's arrival at the final ticketed destination. A family that leaves Frankfurt on time but misses a Newark connection and reaches Orlando six hours late may have a long-haul claim based on Orlando.

If some members are split onto earlier rerouting, record actual arrival separately. The claim amount can differ where one passenger arrives inside a reduction window and another much later.

Separate tickets normally do not combine. A missed independent booking can create insurance or damages issues, but do not present it as the same protected final destination without a legal basis.

Who can submit and receive payment?

A parent or guardian can usually handle a minor's claim with evidence of authority. One adult does not automatically control another adult passenger's compensation merely because they made the booking.

For adult groups, collect a signed authority where United requires one, plus each e-ticket and payment instruction. Do not copy signatures or submit a blanket authorization that travellers have not understood.

If the booking was made by an employer, school or tour organizer, distinguish ticket purchaser from passenger. Fixed compensation generally belongs to the affected passenger, while the purchaser may own certain ticket-refund rights under contract.

Family rerouting and care

Tell United that the party must remain together, especially where children, disability or care needs are involved. Preserve any special-service request. If United splits the family, record who accepted and why.

Reasonable care can include an appropriately sized room and safe transport. A family may need two rooms where occupancy rules require it. Explain the need rather than choosing luxury accommodation.

Food receipts should show items and number served. Child essentials caused by an overnight disruption can be reasonable, but ordinary holiday shopping is not care.

A group evidence table

Use columns for:

  • full passenger name;
  • e-ticket number;
  • adult, child or infant status;
  • original and replacement flight;
  • operating carrier;
  • scheduled and actual final arrival;
  • compensation band;
  • authority/payment status;
  • separate downgrade or denied-boarding event.

Attach one shared chronology and a numbered expense schedule. The United amount calculator helps identify bands without multiplying ineligible passengers.

Avoid common group errors

  • claiming only once for everyone on the PNR;
  • multiplying shared receipts;
  • assuming every lap infant qualifies;
  • sending an adult's claim without authority;
  • ignoring different replacement arrivals;
  • treating a US-origin return as covered because the outbound was;
  • overlooking a different operating carrier on one sector.

Example: four passengers from Heathrow

Two adults and two ticketed children take United's Heathrow-Denver flight and arrive five hours late because of ordinary operations. UK261 can support GBP 520 for each eligible passenger: potentially GBP 2,080 total. A GBP 180 hotel room is claimed once, not four times.

On United-operated Denver-Heathrow, the same family normally has no UK261 fixed claim because the journey begins in the US. DOT refund may apply if United cancels and the family rejects travel.

FAQ

Is compensation paid once per family booking?

No. Fixed EU261 and UK261 amounts are calculated per eligible passenger.

Do children receive the same fixed amount as adults?

Ticketed children can. The amount depends on route and disruption, not a lower child fare.

Does a lap infant always qualify?

No. Check whether the infant had a ticket and the fare arrangement; free private travel may be excluded.

Can one adult claim for the whole group?

For minors, a parent or guardian can show authority. Other adults may need to authorize the representative and payment.

Should shared expenses be multiplied per person?

No. Claim the actual shared hotel or taxi cost once, while listing who used it.
