How to claim United Airlines compensation step by step

Claim fixed compensation from United through Customer Care after proving that the protected journey began in the EU/EEA, Switzerland or the UK, or that a qualifying operating carrier covers an inbound flight. Choose the situation that applies to your flight:

Check United eligibility first. A complete claim from Dublin or Heathrow has a realistic EU261 or UK261 path; a United-operated flight beginning in the US normally needs a DOT refund or another remedy rather than a fixed European demand.

Step 1: classify the direction

Write the initial departure and final destination of the continuous booking. EU261 can cover United journeys starting in the EU or EEA, with relevant protection for Swiss departures. UK261 can cover United journeys starting in the United Kingdom.

A separate United-operated US-Europe journey normally fails this scope test. Before closing the file, inspect operated by. Lufthansa, SWISS, Austrian Airlines or another eligible partner may have performed an inbound UA-coded sector.

For one EU-origin booking continuing inside the US, do not restart the legal test at Newark or Chicago. C-561/20 confirms that the complete connected journey can remain covered.

Do not describe a schedule change as a completed delay without explaining what happened. A precise legal event lets United route the case correctly and prevents an irrelevant template response.

Step 3: identify the operating carrier

Keep the original confirmation and boarding pass. A UA number can be operated by United, United Express regional carrier or Star Alliance partner. Liability under EU261 and UK261 generally follows actual operation.

Record the operator for the sector that caused the disruption and for the transatlantic sector if inbound status matters. Rebooking can alter the operator, so preserve both original and replacement documents.

Step 4: calculate final arrival and amount

For one directly connecting booking, use arrival at the last ticketed airport. Arrival generally occurs when passengers are permitted to leave the aircraft, not at touchdown. Convert scheduled and actual times into the same time zone and do not round 2:59 to three hours.

EU261 bands are EUR 250, EUR 400 and EUR 600. UK261 bands are GBP 220, GBP 350 and GBP 520. Long-haul arrival within a permitted reduction window can halve the amount. Multiply by eligible passengers only after checking every ticket.

Step 5: collect a compact evidence file

Prepare readable copies of:

  • e-ticket receipt and six-character confirmation number;
  • original itinerary showing one booking;
  • boarding passes and operated-by entries;
  • United delay or cancellation notices;
  • scheduled and actual final arrival evidence;
  • first cancellation notification timestamp;
  • reason communicated at airport, in app or by email;
  • rerouting offers and actual replacement arrival;
  • itemised receipts for separate expense claims;
  • authority from other adult passengers where required.

Name files clearly. Avoid sending an unstructured gallery of screenshots without a chronology.

Step 6: submit to the correct United channel

United's refund page directs compensation and disruption expenses to Customer Care. Select the closest international passenger-rights or flight-disruption topic available at submission. Interfaces change, so preserve the page and case number rather than relying on an old menu label.

Use the refund form when you rejected travel and seek the unused fare. Use baggage reporting and claim forms for delayed, lost or damaged luggage. A fixed-compensation request sent only as a ticket refund can be closed without addressing EU261.

Step 7: write the demand in six sentences

Include:

  1. Passenger names, booking and travel date.
  2. Initial departure, final destination and one-booking status.
  3. Operating carrier and disrupted sector.
  4. Scheduled and actual final arrival or cancellation notice.
  5. EU261 or UK261 amount per passenger and total.
  6. Request for a factual cause and reasonable-measures evidence if refused.

Example:

This claim concerns one United-operated booking from Dublin via Newark to Denver on 4 July 2026. Scheduled arrival in Denver was 16:10 and passengers were permitted to leave at 21:02, a delay of 4 hours 52 minutes. The journey began in the EU and exceeded 3,500 km. United described the cause as an aircraft technical issue. I request EUR 600 for each of the two named passengers, EUR 1,200 total, under Regulation 261/2004.

Add expenses in a separate table rather than including them inside the fixed amount.

Step 8: handle an incomplete answer

If United says only "outside our control," request the event, location, time, causal link and measures attempted. If it says the delayed sector was domestic US travel, provide the complete EU-origin itinerary and C-561/20. If it says United is a US carrier, point to the covered European departure.

For a genuine US-origin United flight, do not argue the wrong direction. Switch to DOT refund, oversales, baggage or contractual rights supported by the facts.

Step 9: escalate in the correct country

An EU national enforcement body can review compliance for incidents in its territory, although it may not collect the individual payment. Cross-border EU consumers may seek European Consumer Centre guidance. Court forum and limitation depend on itinerary and national law.

For UK claims, complain to United first. United is not currently listed among the CAA's AviationADR or CEDR participants; PACT may therefore review an unresolved complaint, but its view is not binding.

Keep the original submission date. As at 14 August 2026, the adopted future EU nine-month notification process and 30-day response period are not yet the applicable rules.

Should I use the United refund form for compensation?

No. The refund form is for unused fare or eligible services. Fixed compensation and disruption expenses belong through Customer Care.

What documents matter most?

The complete ticket, operated-by entry, final arrival proof, cancellation notice and United's stated cause usually establish the core chronology.

Can I claim for a delay on a later US connection?

Yes when it belongs to one directly connecting booking that began in the EU. Cite C-561/20 and include every sector.

Should I claim EUR 600 from the US to Europe?

Usually not when United operated a separate US-origin flight. Check the operating carrier and use the correct DOT or baggage remedy instead.
