United Airlines compensation form: which contact should you use?

Use United Customer Care for EU261 or UK261 fixed compensation and disruption-expense reimbursement. Use the United refund form for an unused ticket or paid service, and the baggage report and claim tools for delayed, lost or damaged luggage. Sending the right request through the wrong form can produce a closure that never answers the legal claim.

Customer Care for fixed compensation

United's refund page expressly directs compensation and flight-disruption expense requests to Customer Care. Provide a concise chronology instead of a general complaint about service.

The submission should say:

  • EU261 or UK261;
  • initial departure and final destination;
  • one-booking status for connections;
  • airline shown beside operated by;
  • final arrival delay or cancellation notice;
  • cause given by United;
  • amount per passenger and total;
  • separate expense subtotal.

Attach the e-ticket and evidence. Retain the case reference because later replies may not reproduce the original text.

Refund form for unused travel

Use the refund workflow when United cancelled or significantly changed travel and you did not accept the replacement, or when a refundable fare or unprovided service qualifies. Select the ticket or receipt item and request the original form of payment when cash reimbursement is due.

EU261 and UK261 reimbursement is a choice against rerouting. US DOT rules also require automatic refunds after cancellation or significant change when the passenger rejects alternatives. The DOT process is not a fixed delay-compensation claim.

Do not voluntarily cancel the trip before saving United's disruption. Automated fare rules may issue a travel credit and obscure the involuntary basis.

Baggage channels are time sensitive

Report missing or damaged baggage at the airport as soon as possible and obtain the file reference. United's claim-status page links to separate requests for interim expenses, bags missing more than five days, damage and missing contents.

International Convention deadlines remain important. Damage generally requires written complaint within seven days, while delayed-bag expense claims generally require written complaint within 21 days after delivery. Court action under the Montreal Convention usually has a two-year extinguishing period.

Do not put a luggage invoice only inside an EU261 delay form. Baggage compensation addresses proved loss under a different framework.

What to enter for a connected trip

List every sector and operator. For Dublin-Newark-Austin on one ticket, state Dublin as initial departure and Austin as final destination. If the delay arose on Newark-Austin, identify the operator of that sector and attach the original combined itinerary.

C-561/20 prevents United from dismissing a complete EU-origin journey merely because the decisive segment ran between US airports. Separate tickets remain separate.

For a normal Austin-Newark-Dublin return operated by United, fixed EU261 normally does not apply. Use the refund form only if refund conditions are actually met; a completed delay is not an unused ticket.

Separate fixed compensation from expenses

Customer Care may receive both, but present them as two requests:

Do not subtract a meal voucher from fixed compensation. Do subtract any reimbursement already received from the same expense line.

When United replies with the wrong issue

If the answer discusses refund while ignoring compensation, reply under the same case number and restate the fixed statutory demand. If a baggage department receives the request, ask for transfer or resubmit through Customer Care rather than assuming silence is a legal refusal.

If United says EU261 does not apply because it is American, point to the European departure. If the flight began in the US and United operated it, accept the scope result and identify the correct DOT, oversales or baggage right.

Escalation contacts are jurisdiction specific

For an EU departure, the relevant national enforcement body usually follows the place of incident. It may supervise compliance without issuing a binding individual money award. The European Consumer Centre can assist eligible cross-border consumers.

For a UK case, United is not on the CAA's current approved ADR participant list. After first complaining to United, PACT may review an unresolved claim. PACT cannot impose a binding decision.

For a US refund failure, a DOT consumer complaint can address compliance. It does not transform an uncovered delay into EU261 compensation.

Submission record checklist

Save the full form text, upload list, timestamp, case number and automated email. Record any deadline United gives for additional documents. Reply from the same email address used on the booking where possible.

For several passengers, list each full name and ticket number. Include signed authority when one adult acts for another. Avoid sending passports unless identity verification genuinely requires them; redact irrelevant numbers.

It handles eligible unused tickets and paid services. It is not the main channel for fixed EU261 or UK261 compensation.

Can I submit expenses with compensation?

Report it at the airport, obtain a file reference and use United's baggage claim tools within the applicable written deadlines.

Should a US-origin delay go through International Passenger Rights?

Only when a valid route or operator basis exists. A United-operated US-origin journey normally needs a DOT, refund, baggage or contractual route instead.
