Delay amount from Heathrow
The route is in the long-distance UK261 band. If the final arrival is between three and four hours late, the usual payment is GBP 260. Arrival more than four hours late can produce GBP 520, subject to the cause defence.
Measure at the final destination shown on the ticket. Heathrow-Nairobi-Mombasa arriving in Nairobi two hours late but Mombasa six hours late can be a six-hour case when KQ issued it as one connected journey. Independent Nairobi-Mombasa tickets do not automatically count.
Door opening is the normal final arrival moment. Preserve KQ messages and the replacement boarding pass where the case lies close to four hours.
Cancellation and alternative transport
A covered cancellation gives a choice between reimbursement and rerouting. Kenya Airways should seek a suitable journey at the earliest opportunity, including another airline where necessary, or later-date travel subject to availability.
For Heathrow, compare:
- another KQ service from LHR;
- a partner flight from Heathrow;
- a Kenya Airways departure from Gatwick;
- an indirect option through Amsterdam, Paris or another practical point;
- arrival at Nairobi and the onward final destination.
The quickest departure is not always the earliest final arrival. Ask for the complete replacement, confirmed seats and baggage handling before accepting.
Fixed compensation depends on notice and replacement timing. Notice at least 14 days before travel normally removes the fixed sum, while refund or rerouting still remains.
Heathrow to Gatwick rerouting
The airports are separated by a surface journey. If KQ offers Gatwick as the substitute departure, ask in writing whether it will arrange or reimburse transport. Consider luggage, mobility, children, immigration status, time of day and the need to recheck.
Keep the original LHR ticket, substitute LGW itinerary and receipts. A private premium car when practical coach or rail existed may be challenged, but a reasonable taxi can be justified late at night, with reduced mobility or where the alternative connection would otherwise fail.
Do not allow an airport change to be described as a minor gate alteration. US DOT rules also treat an airport change as significant on a US itinerary, but Heathrow-Nairobi uses UK261 as the principal statutory framework.
Care at Heathrow
For a long-distance delay, the UK care threshold is generally four hours at departure. KQ should provide reasonable refreshments and communication. If departure shifts overnight, hotel accommodation and transport between the airport and room can be due.
The duty continues during extraordinary circumstances. Severe weather may remove GBP 520 but does not remove basic care. If the airline cannot provide vouchers or a room, spend proportionately and retain itemised receipts.
After at least five hours, the passenger can abandon a protected journey and request reimbursement. Tell KQ before leaving and confirm what happens to every future sector.
Operating carrier on a KQ ticket
Kenya Airways codeshares with British Airways and other partners. Read the “operated by” line. A BA-operated Nairobi-Heathrow arrival can have UK261 coverage that a KQ-operated arrival lacks. A BA feeder into Heathrow can also be the sector that caused a missed KQ departure.
Direct the operational claim to the carrier responsible for the event. If BA cancelled Manchester-Heathrow, claiming only from KQ because the long sector carries a KQ number may delay resolution.

- the original Heathrow itinerary and terminal shown at the time;

KQ's current Conditions state a substantive response within 21-30 working days. After a final response, check the UK CAA's live complaint and ADR guidance. Do not rely on an outdated list of participating airlines.
Worked Heathrow family example
Two adults and two children hold one Heathrow-Nairobi-Entebbe reservation. A KQ aircraft leaves late, the family misses the confirmed Nairobi connection and reaches Entebbe nine hours after schedule. If the cause was within Kenya Airways' control, the claim is assessed for four passengers at the final destination, not as one household payment or only by the arrival into Nairobi.
The family can list four fixed sums, while claiming one actual hotel room, four reasonable meals and the shared transfer shown by receipts. If one child travelled as a free infant without a reserved seat, separate that ticket for legal review instead of automatically multiplying the adult amount by four.
