Iberia compensation claim form: submit a complete case

Use Iberia's disruption form only after fixing the original itinerary, operating carrier, applicable regime, final arrival and separate amounts. Iberia asks for the booking code and ticket number and provides a claim reference that can be tracked. Preserve the exact text and attachments because the same record may later support AESA, the UK CAA complaint path or court. Iberia currently says it aims to answer ordinary claims within seven business days, with complex cases potentially taking up to 21 days; this is a service statement, not a guaranteed legal outcome.

Step 1: preserve the original itinerary

Download the e-ticket receipt before changes overwrite it. Save the PNR, every ticket number, passenger names, original dates, airports, scheduled times and booking channel. Keep original and replacement boarding passes.

For a connection, show all coupons on one ticket. A summary screen can conceal whether a travel agency issued separate contracts. Record the itinerary as sold, not only the flights eventually taken.

Step 2: identify every operating carrier

Read “operated by” for each sector. An IB marketing code may be flown by Iberia, Iberia Express, Air Nostrum or a partner. EU261 and UK261 fixed claims normally follow the operating carrier that supplied aircraft and crew.

If Iberia operated the disrupted sector, state that. If Iberia Express caused the missed long-haul connection, identify Iberia Express and explain the final arrival. Use the operating-carrier guide when the documents conflict.

Step 3: choose EU261 or UK261

EU261 covers departures from the EU and Iberia-operated arrivals into the EU from outside it because Iberia is an EU carrier. UK261 covers departures from the UK; inbound coverage rules differ. Do not request both fixed awards for the same journey.

State the first departure, final destination and one-booking status. For Bogota-Madrid operated by Iberia, explicitly mention Iberia's EU-carrier status so the overseas origin is not mistaken for an exclusion.

Step 4: record final arrival and disruption facts

List scheduled and actual final arrival, preferably door-opening time. For cancellation, record when notice reached the passenger and every rerouting offered. For denied boarding, preserve timely presentation, valid documents and any volunteer request.

Quote the reason Iberia gave without adopting it as fact. “Operational reasons” or “weather” is only a label. Add airport announcements, emails, app notices and a concise chronology.

Step 5: calculate each remedy separately

Use separate lines for:

  • fixed EU261 or UK261 compensation per passenger;
  • refund of unused ticket value or rerouting costs;
  • meals, hotel and transport Iberia should have provided;
  • other documented loss under a different legal basis.

State currency and passenger count. A EUR 600 family claim is not “EUR 600 per booking.” Do not subtract reasonable hotel expenses from the fixed amount.

Step 6: assemble the evidence bundle

Use descriptive filenames and a short index. Include e-ticket, boarding passes, operator proof, notices, new itinerary, arrival evidence, receipts and authorisations for represented passengers. Combine screenshots into a readable PDF if Iberia's upload limits require it, but retain originals.

Bank details should match the recipient and use the format requested. Never send card security codes. If a travel agency controls the refund, preserve its correspondence separately.

Step 7: submit and preserve the Iberia form

Choose the category for cancellations, delays, missed connections, denied boarding or schedule changes on Iberia's claims page. Enter the booking code and ticket number exactly. Paste a factual chronology and the numbered remedies.

Before clicking submit, save a PDF or screenshots of every field. After submission, retain the confirmation email, reference, attachment list and date. Iberia provides a status tool; screenshots of status changes help establish the procedural timeline.

Step 8: assess the reply and escalate correctly

Compare the answer with every requested line. A refund does not answer fixed compensation; paid compensation does not answer hotel costs. If Iberia invokes extraordinary circumstances, request the event, causal link and reasonable measures.

For incidents within AESA's Spanish competence, the alternative dispute resolution route can issue a decision binding on the airline for covered post-2 June 2023 events. A concise claim model

I travelled on one booking from [origin] to [final destination]. The disrupted sector was operated by [airline]. Scheduled final arrival was [time]; a door opened at [time], producing [delay]. I request [fixed amount] per passenger under [EU261/UK261], plus the separately itemised expenses attached. Please identify any extraordinary event relied upon, its causal link and the reasonable measures taken.

Adapt the facts. Do not paste case citations unrelated to the dispute. A readable chronology and operator proof are usually more effective than a long emotional account.

Current procedure and future reform

This guide reflects 25 August 2026. The EU reform adopted in July 2026 introduces future procedural deadlines after its application date. Do not present a future nine-month claim rule or 30-day response rule as already governing current Iberia forms. Act promptly under the present system and check the applicable national limitation period before litigation.

Correcting or supplementing a submission

If a document was omitted, do not create a second unrelated claim unless Iberia's system requires it. Use the status or contact route linked to the original reference, identify the missing attachment and keep proof of delivery. A duplicate case can split the correspondence and make a complete chronology harder to follow.

When Iberia asks for more information, answer the exact question and restate the open remedies. If it requests bank details after approving one passenger, confirm whether the decision covers every traveller and every amount. Download the final reply rather than relying on indefinite access to an online status page. Preserve personal data securely and redact card numbers or unrelated identity details from evidence shared beyond the necessary claim channel.

FAQ

Which Iberia form should I use for a delayed flight?

Use Iberia's claims page and select the flight cancellations, delays and changes path. Baggage has a separate PIR and claim workflow.

What numbers do I need?

Iberia asks for the booking code and ticket number. Keep the operating-carrier line and all passenger ticket numbers as well.

Can I submit for another passenger?

Iberia says this is possible with authorisation. Include the affected passenger's flight and ticket details and preserve the authority document.

Is Iberia's stated reply time guaranteed?

No. Iberia currently says it aims for seven business days and may take up to 21 days for complex claims, but actual handling can vary.

Should I use the same form for baggage?

No. Open a PIR immediately and use Iberia's Baggage Service Centre and baggage claim channel.
