Brussels Airlines care: hotel, meals and local transport
Short answer: Brussels Airlines must provide reasonable meals, refreshments, communication and, when necessary, hotel accommodation with airport transfer during a qualifying delay, cancellation or involuntary denied boarding. These duties apply even when weather, ATC or another extraordinary event removes fixed compensation. If adequate assistance is not provided, passengers can buy proportionate alternatives and seek reimbursement with itemised receipts.

Cancellation and involuntary denied boarding also create care while the passenger waits for rerouting. Brussels Airlines may offer assistance earlier operationally; accepting it does not weaken any legal claim.
The three-hour final-arrival threshold belongs to fixed delay compensation. A passenger can need a meal after two hours at departure even if the aircraft later recovers time and arrives below three hours late.
Brussels Airport vouchers
Brussels Airlines says refreshment credit can be linked to the QR code on the affected boarding pass after a delay of two hours or more, cancellation or denied boarding. Check the app and QR code, then ask staff if no credit appears.
Record whether outlets accept the voucher and whether its value is adequate for the wait. If it fails technically or all participating outlets are closed, keep a screenshot or short note and purchase reasonable food. One ordinary meal per meal period is easier to justify than a large restaurant bill.
Hotel and airport transfer
When the next available departure is the following day, Brussels Airlines should arrange accommodation and transport between airport and hotel. Ask where the voucher is issued, whether breakfast is included and how transfer operates.
If no room is provided, give the airline a practical chance to assist. When support is unavailable or no suitable option appears, book a reasonable room in light of local availability, passenger needs and time of night. Keep the booking confirmation, invoice and proof of payment.
A family can choose one suitable family room where available. A passenger with reduced mobility may need accessible accommodation or a safe taxi rather than an ordinary shuttle. Explain these facts in the expense schedule.

Reasonableness changes with scarcity. During a widespread storm, the only remaining room may cost more than usual. Save evidence of availability and explain why delay would make searching longer unsafe or impractical.
Care outside Belgium
The same EU261 duty applies on Brussels Airlines-operated inbound flights from third countries where the Regulation covers the journey. Ask the local ground handler for vouchers, hotel and transfer. Preserve the handler's identity and response.
Local immigration rules can restrict an airside passenger from entering the country for a hotel. Tell the airline about visa constraints and request a lawful solution. Do not assume that an independently booked landside room will be usable.
Keep receipts in local currency and the card statement. Convert only when presenting the total, identify the exchange date or actual card debit, and avoid inflating the amount with an arbitrary rate.
Missed connections and care
On one reservation, Brussels Airlines must look after a passenger stranded at BRU after a protected miss while arranging onward transport. The cause can lie with Brussels Airlines or another operating carrier, so identify who handled the disruptive sector and who provided assistance.
Group airlines often share service desks, but legal responsibility remains carrier-specific. Record which company issued vouchers and which refused. Do not submit the same hotel invoice twice.
If flights were separately booked, statutory care from the first carrier normally ends at that ticket's destination. Insurance, package organiser duties or a connection guarantee can still assist with the independent wait.
Refund or rerouting remains separate
Meals and hotel do not force the passenger to continue. After cancellation, choose reimbursement or rerouting. After at least five hours of departure delay, a journey that no longer serves its purpose can be abandoned for reimbursement and, where relevant, return to the first point of departure.
If continuing, request earliest comparable rerouting. Care continues for the necessary waiting period. A carrier cannot use a voucher for future travel as a substitute for current food or accommodation.
Fixed compensation can be additional
If final arrival is at least three hours late and no extraordinary defence is proved, EUR 250, EUR 400 or EUR 600 can be due in addition to care. Cancellation and denied boarding have their own fixed-payment tests.
Example: a Brussels Airlines aircraft has an ordinary technical fault, passengers stay overnight at BRU and reach an African destination twelve hours late. Each eligible passenger can assess EUR 600, while the family separately claims reasonable hotel, meals and transfer that the airline did not provide.
If severe weather caused the same event, the fixed amount may fail, but the expense schedule remains valid.
Expense request format
Create a table with date, city, item, reason, original currency and amount. Number each receipt. Explain missing documents and attach proof of payment. If Brussels Airlines provided part of the meal value, claim only the reasonable balance.

Does Brussels Airlines owe a hotel during bad weather?
Yes when an overnight wait makes accommodation necessary. Extraordinary circumstances do not remove Article 9 care.
Can I buy food if the boarding-pass voucher does not work?
Yes after seeking practical help. Choose a proportionate meal and keep the itemised receipt and evidence that the voucher failed.
Are care expenses deducted from EUR 600 compensation?
