Brussels Airlines compensation form: what to enter and attach

Short answer: use the Brussels Airlines post-travel feedback form for delay, cancellation or diversion, but prepare the file before opening it. Identify the operating airline, enter the original journey and replacement accurately, claim fixed compensation separately from expenses, add every passenger, and save the confirmation. A complete first submission reduces avoidable requests for information.

Choose the situation that applies to your flight:

The carrier's contact area separates rebooking, refund, hotel, baggage and compensation topics. Choosing the closest form matters because a ticket refund request does not automatically create an EU261 fixed-payment claim.

Before opening the form

Create one folder with:

  • e-ticket receipt and booking confirmation;
  • original itinerary before automatic rebooking;
  • all boarding passes, including partner flights;
  • cancellation, delay or schedule-change notices;
  • replacement itinerary and actual final-arrival evidence;
  • itemised meal, hotel and transport receipts;
  • bank account details requested for payment;
  • authority from each adult if one person represents the group.

Use descriptive file names such as original-itinerary.pdf and hotel-receipt-bru.pdf. Do not submit ten unidentified screenshots when one chronological PDF would make the event clearer.

Step 1: choose the right incident category

Brussels Airlines provides a form for delays and cancellations that also mentions diverted flights. Use baggage reporting and reimbursement paths for baggage matters. Hotel expenses have their own support option in the contact area.

One disruption may require more than one request. If the flight was cancelled, the ticket was rerouted and a bag arrived late, EU261 compensation, care expenses and Montreal baggage damages have different evidence and deadlines. Cross-reference the case numbers rather than forcing every remedy into an unsuitable field.

Step 2: identify the operating airline

An SN flight number is a marketing indicator, not conclusive proof that Brussels Airlines operated the sector. Check the booking and boarding pass for “operated by.” If Lufthansa, SWISS, Austrian, United, Air Canada or another partner actually performed the disrupted flight, liability may belong to that carrier.

When the connection includes several airlines, state which sector caused the final delay and who operated it. Step 3: enter the original journey

The form needs facts from the booking as sold, not only the replacement now displayed in Manage My Booking. Record:

For one protected connection, include the final destination after Brussels. If the ticket was Europe–BRU–Africa and the second flight was missed, stopping the form at BRU can understate both delay and distance.

Step 4: state the legal event and amount

Write a compact chronology. For example: the first sector arrived late, the protected connection was missed, Brussels Airlines rerouted the passenger, and final arrival occurred a stated number of hours after schedule. Then identify EU261, the distance band and the requested amount for each passenger.

For cancellation, add when notice reached you and the departure and arrival times of the offered alternative. For involuntary denied boarding, attach evidence of timely presentation, valid documents and the airport notice confirming that you did not volunteer.

Avoid claiming EUR 600 solely because the ticket was expensive. The fixed amount follows distance, final destination and event. Use the amount worksheet first.

Step 5: separate each remedy

A clear request uses separate headings or lines:

  1. fixed compensation under Article 7;
  2. reimbursement or rerouting under Article 8;
  3. care expenses under Article 9;
  4. downgrade reimbursement under Article 10;
  5. baggage claim under the Montreal Convention.

Attach a small expense table with date, item, reason, currency and receipt. State the total and preserve the original payment method. Brussels Airlines asks for bank data such as IBAN and BIC in relevant feedback forms; enter details only on the official secure domain.

Step 6: include every claimant correctly

The Brussels Airlines form allows additional passengers on the same booking. Name each traveller and specify the amount claimed for that person. Compensation belongs to the passenger, so the lead booker should not silently claim one sum for an entire family.

For another adult, retain signed authority if requested. A lawyer or claims representative should use the representative fields and supply authority. For a child, identify the parent or guardian and preserve the ticket showing the fare or award status.

Step 7: preserve submission evidence

Before sending, save the completed narrative and attachment list outside the browser. After submission, retain the case number, confirmation email, date and exact documents uploaded. If no acknowledgement appears, take a screenshot and verify whether the request was actually created before submitting duplicates.

Create a follow-up date. Brussels Airlines' passenger-rights page directs private travellers to the Belgian Consumer Mediation Service after prior contact when no reply is received within two months or the handling is unsatisfactory. The airline's Conditions of Carriage also state a one-year period for EU261 actions under Belgian law. An open internal case does not justify waiting past a legal deadline.

A model factual structure

Use your own facts rather than copying a generic demand:

I travelled under booking [PNR] from [first airport] to [final airport] on [date]. Flight [number], operated by [airline], was [event]. Scheduled final arrival was [time]; first door opening after rerouting was [time], a delay of [duration]. The journey falls in the [distance] band. I request [amount] for each passenger listed below. Care expenses of [total] are claimed separately with itemised receipts. Please identify the precise disruption cause and reasonable measures if liability is disputed.

Keep emotion out of the calculation. A courteous, evidence-led request gives the reviewer less room to misunderstand the route or remedy.

Security and false contact pages

Open the form through the Brussels Airlines contact area, check the domain and avoid search advertisements that imitate airline support. Do not send passport copies, card security codes or full banking credentials through ordinary email unless genuinely required and transmitted securely. A booking reference and ticket data are already sensitive; redact unrelated information from shared receipts.

Which Brussels Airlines form should I use for EU261 compensation?

Use the post-travel delay and cancellation feedback path for the disrupted flight. Baggage and certain expense requests use their dedicated contact options.

Can I add family members to one submission?

Yes, the form supports additional passengers. List each person and amount, and keep authority for adults represented by someone else.

Should I claim hotel costs inside the EUR 600 amount?

What if my ticket has an SN number but another airline operated it?

Identify the actual operator and direct the fixed-payment claim accordingly. Explain the complete booking so rerouting and seller roles remain visible.

Is the confirmation email important?

Yes. It proves submission date, case number and often the scope of the request, which is important for follow-up and deadlines.
