British Airways denied boarding: overbooking compensation and options

If British Airways involuntarily refuses boarding because there is no seat, an aircraft substitution reduces capacity or the flight is oversold, a passenger who checked in on time with valid documents can normally demand fixed compensation plus a refund or rerouting and care. No three-hour arrival delay or proof of airline fault is required.

Volunteering is different. A volunteer negotiates benefits with BA and still receives a refund or alternative flight, but should not assume the statutory involuntary-denied-boarding payment remains available. The airport document must clearly show which category applies.

Ask the gate agent to state the reason in writing. Phrases such as "offloaded" or "unable to board" do not reveal whether the cause was oversales, documents, connection control or operational capacity.

BA's obligation to seek volunteers

UK261 and EC261 require the operating carrier to call for volunteers before denying boarding against a passenger's will. BA may offer cash, a voucher, Avios, hotel accommodation or a better later itinerary. The amount for a volunteer is negotiated rather than fixed by the statutory table.

Read the offer carefully. Confirm whether benefits are per person, when they will be delivered, whether accommodation and meals are additional, and which replacement is guaranteed. A family should verify that everyone will travel together. Obtain a written record before surrendering seats.

A passenger does not volunteer merely by discussing an offer or accepting ordinary rerouting after BA has already selected them for removal. If staff describe the event ambiguously, write down the sequence and names of witnesses.

The amount can be reduced by 50% when rerouting reaches the final destination within two hours for the shortest band, three hours for the middle band, or four hours for the longest band. CAA guidance displays GBP 110, GBP 175 and GBP 260 for those shorter replacement delays.

Payment belongs to every eligible passenger. Four family members can therefore have four fixed claims even if one person purchased the booking. Award-ticket status does not automatically exclude a passenger where the ticket came through a programme available to the public.

Transport choice and care

An involuntarily bumped passenger normally chooses repayment, rerouting as soon as possible, or later travel subject to seat availability. Earliest rerouting should be a serious transport solution, not simply the next BA service if another reasonable carrier can arrive much earlier.

Care is additional. While waiting, BA should provide suitable food and drink, communications, a hotel where necessary and transport between the airport and accommodation. Ask the gate desk to arrange these. If no assistance is delivered, buy proportionate items and retain detailed receipts.

Do not accept a ticket refund when the intended remedy is replacement travel. Once repayment is chosen, BA will ordinarily treat the carriage contract as ended and continuing care may stop. Record the choice offered on the airport form.

Overbooking, cabin downgrade and seat assignment are not the same

BA may address oversales by moving a passenger from First, Club World, Club Europe or World Traveller Plus into a lower cabin. If the passenger still travels, this is usually a downgrade rather than denied boarding. Article 10 reimbursement of 30%, 50% or 75% of the affected flight price may apply without proof of delay.

Loss of a preferred seat while remaining in the same cabin is not a statutory downgrade. The passenger may instead request return of a separately paid seat-selection charge or pursue a contractual complaint. Likewise, moving from one economy fare product to another without changing cabin is not automatically Article 10 treatment.

If BA offers a later flight in the original cabin, ask whether this is rerouting after denied boarding or a voluntary settlement. A passenger could also suffer both events in sequence, but each remedy must match what actually happened. The BA downgrade guide handles cabin calculations.

Operating carrier and codeshare traps

Submit the statutory claim against the airline that performed or intended to perform the affected service. A BA ticket and BA code may cover an American Airlines, Iberia or other partner operation. Conversely, BA CityFlyer or BA Euroflyer may perform a BA-branded service through their own operating licences.

The boarding pass, itinerary and gate record should state "operated by". Save them before rebooking causes the app to replace the original details. If the operating carrier's staff made the decision, direct the compensation request there even if BA sold the ticket.

UK261 coverage includes departures from the United Kingdom on any airline and several inbound categories. EC261 covers EU departures regardless of carrier. Use the operating-carrier article where a codeshare is involved.

Evidence and claim wording

Retain proof of confirmed reservation, timely check-in and arrival at the gate. Keep the original and replacement boarding passes, baggage receipts, queue photographs and every offer to volunteers. Ask for a written denied-boarding notice and record whether compensation was paid at the airport.

In the claim, state that surrender was involuntary, identify the capacity reason, list the alternative journey and calculate arrival at the final destination. Request the fixed amount, any care expenses and the chosen transport remedy as separate items. Attach authorisation for represented adults if needed.

If BA refuses because of travel documents, respond with copies showing they were valid for the complete itinerary. If it alleges lateness, provide check-in timestamps, security records or gate photographs. Escalation should target the exact factual dispute.

FAQ

Do I need to arrive three hours late after BA bumps me?

No. Involuntary denied boarding has its own compensation right. Replacement arrival time can reduce the amount, but it is not a three-hour eligibility threshold.

What happens if I volunteer for a later flight?

You negotiate benefits with BA and retain the agreed refund or rerouting option. Get the payment, hotel and confirmed flight terms in writing.

Can BA refuse boarding because my passport is invalid?

Yes, a genuinely inadequate travel document can justify refusal. If BA made an error, preserve the documents and written reason so the decision can be challenged.

Is a move from Club World to economy denied boarding?

It is normally a cabin downgrade because carriage still occurred. Percentage reimbursement can apply to the affected sector, separately from any delay claim.

Does overbooking compensation apply to an Avios ticket?

It can. Tickets issued under a loyalty programme open to the public are not automatically excluded, though the refund mechanics for Avios remain separate.
