American Airlines booked through an OTA or travel agent: who handles what?
Booking American Airlines through an OTA or agent does not remove an eligible EU261 or UK261 claim against the operating airline. American handles fixed compensation when it operated a covered European or UK departure; the ticket issuer may service refund and reissue. An American-operated US-origin flight normally has no European fixed claim regardless of where the ticket was bought.

Divide the roles
| Issue | Usual first party |
|---|---|
| Fixed EU261/UK261 payment | Operating airline |
| Immediate same-ticket rebooking | Operating/servicing airline and issuer |
| Refund of agency-issued ticket | Ticket issuer may process |
| OTA service fee | OTA contract |
| Separate-ticket guarantee | OTA guarantee terms |
| Baggage report | Operating carrier at airport |
Keep both American and agency reference numbers. One party's role does not automatically erase the other's.
Operating carrier still controls compensation
An Expedia, Booking, eSky or other agency confirmation may show an AA code operated by American, British Airways, Iberia or Finnair. Read the operated-by line.
For Madrid-Dallas operated by American, EU261 can apply and American is the statutory respondent. For New York-Madrid operated by American, buying through a Spanish OTA does not create inbound coverage. If Iberia operated it, the result changes.
Refund servicing
When an agent issued the ticket, American may authorise refund while the issuer returns money to the original payment route. Ask each party to identify authorisation status, amount and processing role.
Do not accept endless redirection. Save American's cancellation, the passenger's rejection of alternatives and the agent's response. Request written confirmation if American says a refund was sent to the issuer.
Agency service fees can be governed by separate terms. Distinguish ticket fare, airline ancillary services and OTA charges.
Contact details and cancellation notice
An OTA may insert agency contact information into the reservation. After cancellation, the date notice legally reached the passenger can affect compensation. Preserve American's record, agency forwarding email and original contact details.
Do not assume notice to an intermediary always equals immediate notice to the traveller. The evidence needs factual and legal assessment.
Update contact details in American's manage-booking tool where permitted, without breaking the agency reservation.
Separate tickets and self-transfer
Some OTAs combine independent tickets under one itinerary. A missed connection does not automatically become one protected final-destination claim. Look for different ticket numbers, separate baggage collection and self-transfer warnings.
An OTA connection guarantee can reimburse replacement travel under its contract. That does not transform separate flights into one EU261 journey.
If one ticket protects all segments, preserve the complete e-ticket and insist that rerouting reaches the last destination.
Packages are different
A flight plus hotel sold as a package can create organiser obligations beyond airline passenger rights. Identify whether the booking is a package, linked travel arrangement or simple basket of separate products.
The operating airline remains responsible for eligible fixed compensation. The organiser can have separate duties for package performance, assistance or price reduction. Avoid duplicate recovery.
Read the American Airlines Vacations guide for package-specific steps.
Evidence checklist
Keep:
- agency confirmation and terms;
- American record locator;
- e-ticket number and issuer;
- operated-by wording;
- original payment receipt;
- cancellation or change notice from both parties;
- refund authorisation and payment trail;
- all rebooking options;
- self-transfer or package wording;
- case references.
Do not rely only on the OTA's itinerary summary. The e-ticket receipt is the stronger source for contract structure.
Submission strategy
Send fixed compensation to the operating airline with scope, final arrival and amount. Send unused-ticket refund servicing to the issuer if American confirms that route. Copy evidence rather than writing one vague complaint to both.
If the agency delays forwarding money, ask for the date and transaction by which American returned it. If American has not authorised refund, ask American to decide entitlement.
Examples
OTA sells Paris-Dallas operated by American: EU261 fixed claim goes to American. The OTA may process ticket refund if the flight is cancelled and unused.
OTA sells Dallas-Paris operated by American: purchase in Europe does not create EU261. DOT refund can still apply after cancellation and rejection.
AA code operated by Iberia from Miami to Madrid: Iberia's EU operation can make the inbound fixed claim viable, even though American marketed the flight.
Two separate tickets shown as one trip: a missed self-transfer usually lacks the one-ticket final-destination protection; inspect the OTA guarantee.
Prevent account-access problems
Use the American locator and passenger surname to view the reservation. Do not let an agent cancel or refund while American is actively rerouting unless you understand the consequence. Ask for written approval before either party changes coupons.
The American form guide identifies claim channels, and the codeshare page identifies the operator.
Chargebacks are not the first airline remedy
A card dispute can be useful when a merchant retains money for an undelivered service, but it has strict deadlines and evidence rules. Starting one while an authorised airline refund is processing can create duplicate-credit confusion. Ask the issuer for status and a payment date first.
If a chargeback is necessary, disclose any airline or OTA refund already received. Preserve the original service description, cancellation and correspondence rather than describing the dispute only as dissatisfaction.
Data mismatches
Agent bookings sometimes contain shortened names, agency email addresses or different phone numbers. Correct essential contact data through an authorised channel and save the old record. Never create a second reservation solely to regain app access without understanding fare and duplicate-booking consequences.
Where American cannot locate a ticket, provide the 13-digit ticket number, not only the OTA order ID. The seller should supply it.
FAQ
Does booking through an OTA remove EU261?
No. Coverage follows route and operating airline, not the sales channel.
Who pays fixed compensation?
The operating carrier normally pays. The ticket issuer can have a separate refund-processing role.
Can the OTA keep an airline refund?
It should account for authorised money under the booking terms and applicable law. Request payment trail and fee breakdown.
Are two flights in one OTA email one ticket?
Not necessarily. Check ticket numbers and self-transfer warnings.
Does a European OTA cover American from the US to Europe?
No. Seller location cannot create EU261 for an American-operated US-origin flight.
