American Airlines damaged baggage: evidence and claim deadline

Report damage to American Airlines immediately and submit a written international baggage complaint no later than seven days after receiving the bag. Obtain the 13-character file reference, photograph damage before repair and keep purchase or repair evidence. This Montreal Convention claim is separate from EU261 or UK261 fixed flight compensation.

Before leaving the airport

Inspect wheels, handles, shell, zips, frame and contents. Normal dirt or superficial marks may not qualify, but structural damage should be recorded promptly.

At the baggage desk:

  1. report damage;
  2. obtain the file reference;
  3. photograph the bag and tag;
  4. ask about repair or replacement process;
  5. retain the boarding pass and checked-bag receipt;
  6. record any refusal to create a report.

If the desk is closed, use American's official channel immediately and preserve time-stamped evidence.

Seven days means written action

For checked baggage damaged during international carriage, the Montreal Convention generally requires written complaint within seven days after receipt. An airport report is important, but submit the requested claim and supporting documents rather than assuming tracing records are enough.

Do not wait for a repair estimate if it will cause the deadline to pass. Send the complaint first and supplement evidence promptly.

The two-year Convention period for court action does not extend the seven-day written-notice requirement.

A bag can be both delayed and damaged. Submit each issue and relevant deadline clearly under the same or linked reference.

Prove condition and value

Use pre-trip photographs, purchase receipt, model, age and repair estimate. If no receipt remains, provide comparable model evidence and honest purchase history. Airlines can account for age and wear.

Do not discard the bag before American inspects or authorises disposal. If it is unsafe or impossible to retain, document why and photograph all identifying details.

For damaged contents, show that the item was inside the checked bag and how baggage damage caused it. Carrier terms can exclude fragile or valuable items that should not have been checked.

Repair, replacement or cash

American may arrange repair, replace with a comparable bag or pay proven depreciated value. The passenger is not automatically entitled to a new premium suitcase when an older mid-range bag is damaged.

Compare the offered replacement's size, construction and function. Brand alone is not decisive. If repair would compromise safety or weather resistance, obtain a written technician opinion.

Do not commission an expensive repair before checking American's process unless urgent mitigation requires it.

Current international ceiling

American states a 1,519 SDR Montreal Convention ceiling for covered international baggage liability. This is the maximum combined Convention exposure per passenger, not an automatic award for a broken wheel.

The claimant must prove actual loss. Any delayed-baggage expenses can count toward the same applicable ceiling. A special declaration can alter the limit where properly made.

US-origin flights remain claimable for baggage

An American-operated Dallas-Madrid flight normally has no EU261 fixed delay compensation, but damaged baggage still falls under international carriage rules. Do not discard a valid baggage case because flight compensation screened out.

Conversely, a covered Madrid-Dallas delay can produce a separate EU261 claim if timing and cause qualify. Keep the two demands and evidence sets distinct.

Codeshare and final carrier

Report damage at the final airport to the carrier delivering the bag. Preserve every operating airline and baggage tag. Convention rules for successive carriers can allow claims against specified carriers, but direct communication should identify the handling chain.

If American tells you to contact British Airways or Iberia, ask which carrier accepted and delivered the baggage and retain the written redirection.

Evidence checklist

  • boarding passes and itinerary;
  • photographs from multiple angles;
  • close-ups of serial and brand labels;
  • pre-trip condition proof;
  • purchase evidence;
  • repair estimate or unrepairable statement;

  • delivery record if bag was also delayed;
  • partner correspondence.

Store the damaged bag until resolution.

Examples

Cracked shell noticed at Madrid: passenger reports before leaving and submits photos and receipt within seven days. The evidence supports repair or depreciated replacement value.

Broken wheel reported three weeks later: the ordinary international written period may have expired, making recovery difficult even with a photograph.

Bag delayed ten days and returned damaged: submit delayed-purchase expenses within twenty-one days after delivery and damage complaint within seven days.

US-to-Europe American flight: no fixed European payment normally, but the baggage damage claim remains fully worth documenting.

Submission wording

State receipt date, report date, file reference, damage, bag age, requested remedy and attached proof. If repair is impossible, include the professional statement and reasonable replacement value.

Use the delayed/lost baggage guide for missing bags and purchases. Do not send baggage evidence only to the ordinary EU261 form.

Items excluded by ordinary wear

Airlines commonly distinguish transport damage from normal wear, scratches, scuffs, dirt, overpacking and defective luggage. Photograph a structural break and explain how it affects use. A cosmetic mark without functional loss may receive no payment.

If American relies on pre-existing damage, compare check-in photographs, bag-drop records and prior repair history. Be candid about old marks while isolating the new crack, wheel loss or frame distortion.

Mobility equipment

Damage to a wheelchair or other mobility aid requires immediate specialist attention and can involve rules beyond ordinary baggage valuation. Tell American about safety and replacement needs at once, retain repair assessments and seek current accessibility guidance. Do not accept a standard suitcase voucher as resolution for essential mobility equipment.
