Read the fare conditions
Find the e-ticket receipt, fare family, booking class and cancellation conditions. Virgin sells different products, and agent-packaged fares can have additional restrictions. Record the rules displayed at purchase.
A refundable fare can still have service charges or timing conditions. A non-refundable fare may allow changes for a fee or fare difference. Do not assume cabin alone decides flexibility; an Upper Class ticket can have its own fare basis.
If an OTA sold the ticket, it may add an agency fee, but it should explain the airline refund and its own charge separately. Ask for the fare-rule text and calculation rather than accepting “non-refundable” without detail.
Unused taxes and charges
When a passenger does not fly, some government or airport charges collected only upon carriage may be refundable even if the base fare is not. Other fees can be imposed or retained under the fare and applicable law.
Request an itemised breakdown: base fare, carrier-imposed charge, government taxes, airport charges, ancillary fees and agency fee. Do not assume every line labelled tax must be returned, or that none can be.
Seat, baggage or lounge extras should be reviewed under their own terms. If Virgin did not provide an ancillary service because the passenger cancelled voluntarily, refundability can differ from a service Virgin failed to deliver.
US 24-hour reservation rule
US DOT requires airlines marketing covered travel to allow a 24-hour reservation hold or penalty-free cancellation for qualifying bookings made at least seven days before departure, subject to the federal conditions. The rule generally applies to airline sales rather than every ticket-agent transaction.
Check whether the booking was made directly with Virgin, touches the United States, and meets the timing requirements. Do not wait until the last minute; preserve purchase and cancellation timestamps. Virgin may offer a broader commercial policy, but use the current official terms.
An OTA can have its own 24-hour wording that is not the DOT rule. Read who took payment and issued the ticket.
Illness and exceptional personal events
UK261 does not require Virgin to pay fixed compensation because a passenger becomes ill or faces a family emergency. The fare may allow changes, Virgin may exercise goodwill, and travel insurance can cover defined events.
Contact Virgin or the agent before departure and provide only necessary evidence. A doctor’s certificate should state inability to travel and relevant dates without disclosing excessive medical detail. Insurance often requires prompt notice and proof of non-refundable amounts.
Do not become a no-show without checking later sectors. Airlines can cancel remaining coupons when an earlier flight is unused. Ask to preserve return travel if appropriate.
When Virgin changes the flight first
If Virgin cancels or significantly changes the itinerary, do not accept processing as voluntary passenger cancellation. Preserve the original and revised schedule and ask for involuntary refund or rerouting.
Under UK261, cancellation gives a travel choice regardless of cause. A protected departure delayed at least five hours can also allow reimbursement if the passenger abandons travel. US DOT provides a refund after cancellation or defined significant change when alternatives are rejected.

Reward seats and upgrades
Flying Club reward cancellation follows programme conditions for points, taxes, fees and timing. Preserve the points debit and any companion or upgrade voucher. A fee can differ by market and date, so check the current account terms rather than an old forum post.
If Virgin cancels the reward flight, points and unused money should be restored under disruption and programme rules. A publicly available reward seat is not automatically excluded from UK261 fixed compensation when Virgin caused a qualifying event.
Agent and package bookings
The agent that issued the ticket may need to process voluntary cancellation. Virgin can explain fare status but may be unable to refund directly to a card it never charged. Obtain written calculations from both.
A package cancellation follows package contract and travel regulations in addition to the airline fare. The organiser may deduct charges tied to timing and supplier loss. Flight-only UK261 does not create compensation for the customer’s voluntary package cancellation.

Record booking reference, ticket numbers, fare basis, reason, purchase channel and payment. Ask for an itemised refund before confirming cancellation. Protect later sectors and note the deadline for insurance.
If accepting travel credit, read expiry, transferability, route limits and residual-value treatment. A credit may be useful but should not be mistaken for cash. Keep confirmation of all points, taxes and extras returned.
