Ryanair hotel and meal costs: how to get reimbursed

Short answer: If Ryanair delays or cancels your flight and does not hand out meal vouchers or book you a hotel, you can buy reasonable food, accommodation and transport yourself and reclaim the cost. This "right to care" under Article 9 — EU261 for EU/EEA and Ireland departures, UK261 for UK departures — is owed regardless of the cause, even in genuine extraordinary circumstances. Keep itemised receipts, submit an expenses claim to Ryanair, and remember it is separate from any Article 7 cash compensation.

Care is a reimbursement right, not a fixed sum

The right to care differs from compensation. Article 7 pays a fixed amount — EUR 250/400/600, or GBP 220/350/520 from a UK airport — and only when Ryanair has no extraordinary-circumstances defence. Care under Article 9 works the opposite way: it reimburses what you actually and reasonably spent, whatever caused the delay — weather, an air-traffic-control restriction, a bird strike or a Ryanair crew strike alike. The Court of Justice confirmed in C-12/11 McDonagh that this duty has no monetary or time cap and survives even a mass event such as the 2010 ash-cloud closures.

Care is owed by the operating carrier — the airline that actually flew the aircraft (C-532/17 Wirth). For Ryanair that may be Ryanair DAC, Malta Air, Buzz or Lauda, but you claim from the Ryanair Group however the ticket was booked.

In practice Ryanair usually pushes meal vouchers and rebooking through the myRyanair app or by email — use them when offered. The out-of-pocket route matters when Ryanair provides nothing, common during mass cancellations when airport desks are overwhelmed.

What Ryanair has to reimburse

Article 9 breaks care into three things, each triggered at a different point:

What "reasonable" means — and what Ryanair will refuse

You are reimbursed for a sensible response, not an upgrade at Ryanair's expense. Keep spending proportionate:

  • Meals — modest food and non-alcoholic drinks. A sandwich and a coffee, yes; a bottle of wine and a lounge day-pass, no.
  • Hotel — a standard airport-area hotel for the night, not a five-star suite.
  • Transport — public transport or an ordinary taxi between airport and hotel, not a chauffeur car.

Ryanair routinely rejects alcohol, mini-bar charges, luxury rooms, premium transfers and any item with no receipt. There is no fixed cap, but Ryanair applies the "reasonable and proportionate" test strictly.

Receipts and evidence to keep

Reimbursement is only as strong as your paperwork. Before you leave the airport or hotel, make sure you have:

  • Itemised receipts for every meal, hotel night, taxi and transfer — a card statement alone is often not enough.
  • Your booking reference and flight number, plus the date and the length of the delay or the cancellation notice.
  • Evidence that Ryanair offered no care — screenshots of the app, the disruption emails, or a note of what the desk told you.
  • Boarding passes and the real arrival "doors-open" time, which also anchor any Article 7 claim.

How to submit the expense claim

  1. Open Ryanair's EU261 / expenses claim form in the "Help" section or your myRyanair account, and select the disrupted flight.
  2. Upload the receipts and state the amount claimed for each item.
  3. If you booked through an online travel agent, expect Ryanair to verify your identity and payment card via myRyanair so the money reaches you, not the agent.
  4. Keep a copy of everything you submit.

If Ryanair pays nothing or low-balls the refund, escalate to the enforcement body for your departure airport — the UK Civil Aviation Authority (CAA) for the UK, the Commission for Aviation Regulation for Ireland, or the relevant national body elsewhere in the EU/EEA. How this sits alongside Article 7 compensation

Care reimbursement and compensation are separate pots, and claiming one does not reduce the other. A three-hour arrival delay with no valid defence can produce both an Article 7 payment and a refund of your meals and hotel. Even where Ryanair legitimately escapes compensation on an extraordinary-circumstances ground, it still owes the care — the whole point of McDonagh. And a strike by Ryanair's own pilots or cabin crew is normally not extraordinary (C-28/20 Airhelp v SAS), so those disruptions usually attract compensation too. Is there a maximum Ryanair has to reimburse?

No fixed cap, but the spend must be reasonable and proportionate. Modest meals, a standard hotel and ordinary transport are fine; alcohol, luxury rooms and premium transfers are refused.

The delay was caused by weather — do I still get meals and a hotel?

Yes. Care under Article 9 is owed regardless of cause. Extraordinary circumstances such as weather can remove Article 7 compensation, but not the right to meals, refreshments and, where needed, a hotel (C-12/11 McDonagh).

Can I claim the hotel cost and the EUR 250–600 compensation?

Yes — they are separate. Reimbursed care costs do not reduce Article 7 compensation, and the compensation does not absorb your receipts. A qualifying delay can pay both.

Which currency and which regulator apply to me?

It follows the departure airport. A UK departure is UK261 in pounds, enforced by the CAA; an Ireland or EU/EEA departure is EU261 in euros, enforced by aviationreg.ie in Ireland or the relevant national body elsewhere.
