Lufthansa hotel, meals and transport: care rights and reimbursement

Short answer: Lufthansa must provide appropriate care during a qualifying wait, even when weather, ATC or another extraordinary event removes fixed compensation. If vouchers, accommodation or airport transport are not supplied, passengers can buy reasonable necessities and request reimbursement with itemised receipts.

Care is not a flat daily allowance and has no automatic luxury budget. The amount depends on waiting time, location, passenger needs and what Lufthansa already offered.

When the care duty starts

For an expected departure delay, EU261 uses route-based thresholds:

Cancellation and denied boarding also carry care while the passenger waits for rerouting. The assistance must be appropriate to the actual delay, so Lufthansa should not wait until a threshold is greatly exceeded before responding.

UK261 follows corresponding care principles on covered UK journeys. The applicable currency for fixed compensation does not change whether reasonable meals or lodging are needed.

Meals and refreshments

Lufthansa commonly issues digital meal vouchers when contact details and airport systems permit. Check the app, email and boarding document, then ask ground staff where the voucher is accepted. Preserve a screenshot if its value or participating outlets are inadequate.

Reasonable food depends on timing. A short daytime delay may justify refreshments and a meal; an overnight interruption can require dinner and breakfast. Alcohol, minibar charges and elaborate restaurant bills are vulnerable to rejection.

Passengers with medically required diets, allergies or young children should explain why standard airport options were unsuitable. A receipt plus a short factual note is better than merely labelling the purchase necessary.

There is no rule that a missing receipt automatically destroys every claim, but proof becomes much harder. Card statements can support payment while rarely showing what was bought, so request an itemised duplicate where possible.

Hotel accommodation

When an overnight stay becomes necessary, Lufthansa must provide hotel accommodation. This can apply for one or more nights if the disruption continues. The duty is not conditional on the event being Lufthansa's fault.

Ask Lufthansa for a room first. If no arrangement appears after reasonable attempts, choose a safe, ordinary hotel with practical airport access. Save screenshots showing nearby prices when a major disruption leaves only unusually expensive rooms.

Example: a family is rebooked from Frankfurt the next morning after an ATC cancellation. Lufthansa's desk closes and chat gives no hotel. A sensibly priced family room near the airport, with documented contact attempts, has a stronger reimbursement basis than two premium suites in the city centre.

Example: Lufthansa offers an available airport hotel, but the passenger books a resort farther away for personal preference. The extra cost and transport are unlikely to be reasonable care expenses.

Airport-to-hotel transport

Article 9 includes transport between the airport and the place of accommodation. Use Lufthansa's coach or taxi voucher if it is workable. Otherwise, public transport is usually the proportionate first option; a taxi can be reasonable late at night, with children, with reduced mobility or where no service operates.

Keep both outbound and return receipts. Note passenger count because one shared taxi may be cheaper than several train tickets. Ordinary transport home is not automatically covered when the passenger elects a refund and abandons the journey, although returning to the first departure point can be part of Article 8 in a disrupted connection.

Care during extraordinary circumstances

The Court confirmed in McDonagh v Ryanair that extraordinary events do not impose a temporal or monetary cap on the care duty. Reasonableness still matters, but a prolonged closure does not make passengers self-fund every necessary night.

Weather, airport closure, security incidents and ATC action can therefore produce two different outcomes:

  • fixed EUR or GBP compensation may be refused after a complete extraordinary-circumstances defence;
  • reasonable meals, hotel and transfers remain reimbursable during the qualifying wait.

Do not abandon an expense claim merely because Lufthansa's cause explanation is valid. Keep the two remedies on separate lines.

Vulnerable passengers and accessibility

Care should reflect the needs of persons with reduced mobility and accompanying passengers, as well as unaccompanied children. Contact the airport assistance provider and Lufthansa promptly. Medication, mobility equipment and specialised accommodation may require faster or different arrangements.

EU261 care does not replace obligations under accessibility legislation. Record assistance requests and any failure independently from ordinary meal receipts.

When care ends

Lufthansa's care duty lasts while passengers reasonably await rerouting under the regulation. If a passenger chooses travel on a later convenient date rather than the earliest opportunity, unlimited accommodation until that date is not generally due.

A deliberate reimbursement choice also changes the position. Once the contract is refunded and the passenger no longer waits for transport, future meals and hotels are normally personal. Costs already reasonably incurred during the disruption remain claimable.

Passengers should mitigate loss. Accept suitable support, do not prolong the stay unnecessarily and tell Lufthansa if independent arrangements are being made.

Fixed compensation is separate

Meals and hotel reimbursement do not reduce the EUR 250, EUR 400 or EUR 600 fixed sum. Nor should Lufthansa deduct a meal voucher from statutory compensation. Under UK261, care similarly sits apart from GBP 220, GBP 350 or GBP 520 amounts.

The passenger can receive both when each test is met. For example, an ordinary technical cancellation with overnight rerouting may generate fixed compensation plus hotel, meals and taxi reimbursement.

Conversely, care can be the only monetary remedy after proven severe weather. The technical-fault guide helps distinguish those causes.

Prepare the reimbursement request

Create a chronological expense table with date, place, item, amount, currency and reason. Attach itemised receipts and payment proof. Convert currencies only for a summary; retain the original amount so Lufthansa can apply its payment rate transparently.

Include the booking code, affected passengers, flight, delay or cancellation notice and rerouting schedule. Explain what Lufthansa provided and why further purchases were needed. A single total with dozens of unexplained receipts invites partial rejection.

Submit through Lufthansa Feedback for the past journey and retain the case reference. If fixed compensation is also claimed, use a separate heading and calculation.

FAQ

Does Lufthansa owe a hotel when bad weather cancels the flight?

Yes when an overnight wait for rerouting makes accommodation necessary, even if weather defeats fixed compensation.

Is there a maximum meal amount under EU261?

The regulation sets no flat allowance; food and drink must be reasonable in relation to the waiting time.

Can I claim a taxi between Frankfurt Airport and my hotel?

Yes when transport is necessary and Lufthansa provides no workable option, provided the taxi choice and price are proportionate.

What happens if I lose a receipt?

Submit alternative evidence such as a card statement and item description, but reimbursement is less certain without an itemised receipt.

Are care expenses deducted from flight compensation?
