American Airlines right to care: meals, hotel and transport
On an American Airlines flight departing the EU, EEA, Switzerland or the UK, passengers can receive reasonable meals, communications, hotel and airport transport during a qualifying delay or cancellation even when weather or ATC removes fixed compensation. American-operated flights beginning in the US normally do not carry this automatic European care right.

Care is separate from fixed payment
| Question | Care result |
|---|---|
| Was the cause severe weather? | Care can still be due on covered flight |
| Is final delay under three hours? | Care can begin earlier by distance threshold |
| Did passenger accept rerouting? | Care can continue while waiting |
| Did passenger choose refund and stop travelling? | Care usually ends with that choice |
| Did American flight start in US? | EU/UK statutory care normally unavailable |
Do not let a compensation refusal answer the expense claim. They use different tests.
When assistance begins
Expected departure delay thresholds depend on route distance: generally two hours for shorter flights, three hours for medium journeys and four hours for the longest category. Cancellation care is tied to waiting for rerouting.
The service should be proportionate to waiting time and time of day. A meal may be appropriate during a long daytime wait; overnight rerouting can require accommodation and transfer.
The three-hour final-arrival threshold applies to fixed delay compensation, not the start of care.
What reasonable care includes
Meals and refreshments should match the wait. Two communications should be available. When an overnight stay becomes necessary, the airline should provide hotel accommodation and transport between airport and hotel.
Passengers with disability, reduced mobility, children or medical needs should tell American promptly and preserve any assistance request. Care should be practical, not merely a voucher unusable because every outlet is closed.
American need not fund luxury spending. Choose a reasonable nearby hotel and normal meals when self-funding is necessary.
Ask first, then document
Request vouchers, room and transport through staff, app, chat or phone. Save the response and case number. Photograph a closed service desk or unusable voucher where appropriate.
If American provides no adequate care, purchase necessities and keep itemised receipts. A card statement alone does not show what was bought. Note who travelled and avoid duplicating a shared room or taxi.
The American expense-claim guide explains submission format.
Hotel limits during extraordinary events
EU case law generally does not impose a preset number-of-nights cap on care simply because disruption lasts several days. The duty remains subject to reasonableness and the passenger's rerouting status.
American should actively arrange travel. Passengers should cooperate with reasonable rerouting and mitigate cost. Refusing an adequate earlier flight in order to prolong a preferred stay can affect recovery.
Rerouting and care work together
Care continues while the passenger waits for earliest rerouting on a covered cancellation. If American offers a reasonable same-day partner option and the passenger instead chooses a later convenient date, the care obligation may not continue through the voluntary extension.
Ask for written confirmation of the selected option. A refund choice usually ends the rerouting wait, while a necessary return to the first departure point can still require practical arrangements.
US-origin flights
For American-operated Dallas-Paris or Miami-London journeys, EU261 and UK261 care normally do not apply. American's contract, current customer-service commitments and written promises determine much of the assistance. Travel insurance may cover additional costs.
Do not submit a European care claim solely because the passenger was stranded after landing in Europe. Check whether a European partner actually operated the inbound segment.
DOT refund rights can return unused fare after cancellation or significant change rejected by the passenger, but they do not create a general federal hotel-and-meal scheme equivalent to EU261.
Evidence checklist
Keep the complete ticket, covered departure, operated-by wording, original and replacement itinerary, cause message, requests for care and itemised receipts. Record the number of travellers sharing each expense.
For hotel, keep booking confirmation and proof of stay. For transport, show route between airport and hotel. For meals, retain merchant and item details. Explain currency and total without discarding originals.
Examples
Paris-Dallas weather cancellation: EU261 fixed EUR 600 may be excluded, but American should reroute and provide meals, hotel and airport transfer while the family waits.
Heathrow-New York technical overnight delay: UK261 care applies and fixed compensation may additionally be due if the technical cause is not extraordinary.
New York-Paris cancellation: American operates from the US. European statutory care normally does not attach; inspect rebooking policy, insurance and refund if alternatives are rejected.
Madrid-Dallas delayed two hours: depending on distance and expected departure delay, care may not yet have reached the long-distance four-hour threshold even though inconvenience is real.
Claim wording
State when care should have begun, what was requested, what American supplied and why each self-funded item was necessary. Attach a table with date, merchant, purpose, currency and amount.
Keep fixed compensation in a separate paragraph. A strong expense file can succeed even if the cause defence defeats EUR 600 or GBP 520.
Special needs and travelling parties
Tell American promptly when a traveller uses mobility equipment, needs refrigerated medication, is an unaccompanied minor or cannot use the standard accommodation offered. The carrier should give particular attention to passengers with reduced mobility and accompanying persons, as well as children travelling alone.
Reasonable adaptation does not mean every preference must be funded. Explain the functional need and keep related evidence. A wheelchair-accessible room, transport capable of carrying mobility equipment or safe dietary option can be necessary rather than optional.
Families should record which expenses were shared and which were individual. This prevents duplicate reimbursement while showing the full practical need.
FAQ
Does weather remove the right to meals and hotel?
No on a covered EU or UK journey. Extraordinary cause can remove fixed compensation while care remains.
Must I wait three hours before receiving food?
Not necessarily. Care thresholds use expected departure delay and distance, not only final arrival.
Can I book any hotel I want?
Choose a reasonable necessary option after requesting assistance. Excessive cost can be reduced.
Does care continue after I take a refund?
Usually not once you abandon rerouting, except for practical arrangements connected with an applicable return right.
Is care automatic on American flights from the US?
European statutory care normally is not. Check carrier commitments, insurance and the actual operating airline.
