Air Canada refund, rerouting, hotel and meal costs
Short answer: treat four items separately after an Air Canada disruption: the unused ticket, replacement transport, care while waiting and fixed compensation. A passenger who still needs to travel normally asks for rerouting rather than cancelling voluntarily. A passenger who abandons a useless journey asks for the applicable refund. Reasonable hotel and meal costs need receipts even when fixed compensation is not payable.

EU and UK departures provide a clear choice
For a covered cancellation, EU261 and UK261 generally require a choice between reimbursement and rerouting. Where the passenger chooses the earliest rerouting, the carrier should not restrict the search to an unreasonably late flight if a suitable alternative is available.
For a covered departure delay of at least five hours, the passenger can choose not to travel and request reimbursement under the applicable framework. That does not mean every five-hour arrival delay creates an automatic refund after the journey has been completed.
Care can include reasonable meals, communication, overnight accommodation and transport between airport and hotel. Extraordinary circumstances can defeat fixed compensation without automatically defeating care.
APPR rebooking depends on cause and timing
Canadian guidance distinguishes events within airline control, within control but required for safety, and outside control. Air Canada is a large airline, so broader rebooking duties can arise when it cannot carry the passenger within the regulatory windows.
For controllable disruptions, current guidance requires the carrier to consider another airline if it cannot provide a suitable departure within nine hours, and broader alternatives after 48 hours. Outside-control events use a different initial rule but can still lead to other-airline or nearby-airport solutions after the specified period.
If rebooking no longer meets the passenger's needs, APPR can require refund of the unused ticket and transport back to the starting point when stranded during a connection.
Ask first, then spend proportionately
Before paying yourself:
- ask Air Canada for the hotel, meal voucher or replacement route;
- record the request and response;
- capture available alternatives if transport is the issue;
- choose a reasonable option that solves the same need;
- keep itemised invoices and proof of payment;
- show which passenger used each expense.
A luxury suite, alcohol or a premium replacement fare is difficult to justify when proportionate options existed. Equally, a family should not be expected to sleep in an airport because no voucher desk was open.
Replacement tickets need a stronger evidence chain
Self-purchased transport is one of the most disputed costs. Preserve:
- Air Canada's cancellation or severe-delay notice;
- the rerouting requested;
- the airline's offered itinerary;
- earlier reasonable flights or rail alternatives;
- the urgency of the original journey;
- invoice, fare conditions and proof the replacement was used.
Do not buy first and ask later unless the situation genuinely leaves no practical channel. A written refusal makes causation much easier to show.
Vouchers and credits should be voluntary
Read the terms before accepting AC Wallet credit, a voucher or another non-cash option. Determine whether acceptance settles only the ticket value or also purports to release compensation and expenses.
Canadian guidance allows an alternative form of refund only under conditions including written information and passenger confirmation. EU and UK reimbursement should similarly not be converted into a voucher without free agreement.
Fixed compensation remains a separate calculation
An eligible passenger can receive rerouting and still claim fixed compensation. Hotel reimbursement does not reduce the statutory amount merely because it was expensive. Conversely, a valid extraordinary-circumstances defence can remove fixed compensation while leaving the transport and care file intact.

Family example
A family of four is stranded overnight after Air Canada cancels Lisbon-Montreal. Air Canada offers travel the next afternoon but provides no hotel because the service desk closes. The family records the request, books a reasonable family room, uses ordinary ground transport and keeps itemised meal receipts.
The EU departure can support care regardless of whether the cancellation cause ultimately removes fixed compensation. The family separately assesses EUR 600 per passenger, ticket rerouting and actual costs.
Keep unused travel from being cancelled by accident
On a return or multi-city booking, pressing a self-service refund button can cancel sectors the passenger still needs. Before confirming, capture the itinerary and ask which coupons will be refunded. If only the disrupted outbound no longer serves its purpose, explain whether the return must remain active or whether travel should be restored to the original point of departure.
Bookings issued by an online agency add another layer. Air Canada may provide operational rerouting while the ticket issuer processes money back to the original payment chain. Keep the airline case number and the agency refund reference together. A statement that the agency "holds the funds" should be supported by the refund transaction number and amount, not used by either party to send the passenger in circles.
Where Air Canada offers a flight from a different airport, include the reasonable transfer needed to reach it in the written request. Record whether the airline arranged transport first and why any self-purchased option was necessary.
